Salary: €55,000 plus Sodexo benefits

About the Role

We’re looking for an organised and proactive Office Manager to support the delivery of hard and soft facilities services across multiple client sites.

This is a varied, hands-on coordination role where you’ll help ensure services are delivered safely, consistently and to a high standard. You’ll work closely with clients, contractors and internal teams while coordinating a team of up to 20 employees and managing day-to-day facilities requirements.

Travel between sites will be required

Key Responsibilities

• Coordinate day-to-day hard FM services, including planned and reactive maintenance, statutory inspections, utilities and contractors.
• Coordinate soft services including cleaning, reception, waste, pest control, workplace support and events.
• Lead, schedule, coach and performance-manage a multi-site team.
• Act as the main point of contact for facilities queries, work orders and escalations.
• Build strong relationships with clients and stakeholders and resolve issues professionally.
• Coordinate contractor access, permits, inductions, risk assessments and method statements.
• Maintain accurate operational, compliance and service records.
• Support audits, inspections and corrective actions.
• Monitor SLAs, KPIs, maintenance schedules, staffing, supplies and expenditure.
• Support purchasing, purchase orders, deliveries, invoices and inventory control.
• Coordinate site meetings, moves, events and business continuity activities.
• Promote strong Health & Safety, environmental and service standards.
• Identify opportunities to improve quality, efficiency and customer experience.

What We’re Looking For

We’re looking for someone with strong facilities coordination, people management and customer service skills.

You’ll ideally have:

• Fluency in Mandarin
• Experience coordinating facilities operations across one or more sites.
• Experience across both technical and workplace/soft services.
• Proven experience leading, scheduling or managing teams.
• Good understanding of Health & Safety, compliance, audits and contractor management.
• Excellent organisation, communication and problem-solving skills.
• Experience using Microsoft Office and CAFM/helpdesk systems.
• Confidence working with KPIs, service data and operational reporting.
• The flexibility to travel between sites and respond calmly to changing priorities.
• A proactive, customer-focused approach with strong attention to detail.
