Transport Operations Administrator

Job Introduction

Responsible for providing all activities associated in relation to Transport Services as part of the team, ensuring:

  • Support with the delivery of a cost-effective fleet transport service to the MOD (the customer).
  • Determine vehicle types in accordance with transport request to allocate vehicles from core fleet and/or hire road transport.
  • Co-ordinate and record all transport bookings with the MOD customer and the Sodexo transport team via the helpdesk booking system and MOD system.
  • Deliver to the standards of service as detailed in the Service Standard Statement (SSS), associated authority regulations and within the schedules of the contractual terms and conditions are achieved, maintained and developed for the assigned operational business area.
  • Support the Transport Operations Co-ordinator as requested.

Role Responsibility

Daily undertaking of assigned tasks in supporting the transport services delivery and associated tasks as the appointed Transport Operations Co-ordinator, you are required to perform the following tasks:

  • Comply with all legislative requirements, Sodexo policy and MOD regulations and procedures
  • Validate all transport requests checking for accuracy, completion, authorisation, and entitlement
  • Advise the custom on entitlement, any corrective action required and inform the MOD Authority of any potential misuse of transport detected
  • Liaise and advise when required with the MOD customers transport sections, Senior Non-Commissioned Officers and their Transport Warrant Officer’s.
  • Effective cooperative working with the MOD customers is essential. 
  • Supervise and/or input transport bookings on the transport database (Helpdesk)
  • Ensure all transport bookings are confirmed IAW the SSS, retained and archived for compliance purposes’
  • Answer all helpdesk questions
  • Assist the Transport Manager with Operator Licence Compliance consisting of but not limited to Maintenance, licencing, EU drivers’ hours and WTD
  • To allocate drivers and vehicles supporting the transport team and the MOD customer.
  • Adhere to any local client/authority site rules and regulations.
  • Assist and support the Transport Manager with all transport related contractual matters
  • Produce reports if requested IAW the SSS for Sodexo and/or the MOD customer using the IT systems and software available.
  • Maintain all vehicle documentation required by Sodexo Transport drivers and the MOD customer
  • Support the with the delivery required to ensure a high standard of vehicle cleanliness is maintained
  • Ensure core fleet vehicles and vehicle keys are secure when not in use
  • Support with the Duty Manager out of ours roster/forecasting
  • Support the Transport Manager with any recruiting in line with the company procedures.
  • To continue to develop one’s own skills and knowledge within the position, including any required training courses
  • To maintain excellent client/customer relationships
  • To attend team briefs, huddles and meetings as required
  • To attend your performance development review to discuss job standards and agree development activities
  • To maintain a clean and tidy work area at all times
  • To maintain high levels of personal hygiene and wear the appropriate uniform and PPE as required
  • To care for all available resources including equipment, materials and supplies as directed
  • To report any near miss occurrences, accidents or faulty equipment to management
  • To ensure effective communication with line manager, team, customer and client organisation
  • To maintain all areas of responsibility to the set service standards and in line with applicable service offer
  • To carry out any other reasonable tasks and/or instructions as directed by management

The Ideal Candidate

Essential:

  • Practical numerical, interpersonal and communication skills, must be able to demonstrate effective verbal and written communication.
  • 2 GCSEs at Grade C or above, or equivalent; or NVQ Business Administration Level 2.
  • IT qualification and/or skills in word and excel.
  • Capable typing and administration skills.
  • Working knowledge of Health, Safety and Welfare in the workplace.
  • Able to work on own initiative or within a team environment.
  • Must be customer service focused.
  • Willing to learn and develop own skills.

Desirable:

  • Previous experience in a similar role.
  • Skilled in working effectively as part of a team.
  • Experience of working within military environment
