Job Introduction
We are looking for a proactive and detail-driven Technical Administrator to provide essential administrative andcompliance support to our engineering department at Royal Stoke Hospital. The role will ensure that all engineering records,systems, and documentation remain accurate, current, and compliant withcontractual and statutory requirements. What You'll Do:
- Support HR processes by recording and preparing documentation for processing, maintaining accurate records at all times.
- Manage and review engineering jobs using the CAFM system, ensuring all job sheets and permits are accurately completed and logged.
- Coordinate and track all permit requests, capturing recharge information and AP time for variations, Trust works, HCP, Lifecycle, and Lend Lease defects.
- Act as the key liaison between operations and suppliers, ensuring availability, resolving queries, and maintaining clear communication channels.
- Produce and collate contractual documentation and reports, ensuring costs are accurately apportioned and submissions meet required deadlines.
- Monitor subcontractor reporting systems, control annual reviews of compliance and training records, and manage the AP/CP register.
- Provide professional administrative and compliance support across the Hard FM team, including audit preparation, meeting minutes, and uniform/PPE management.
- Promote compliance and safety by supporting Health & Safety initiatives, maintaining strong communication with Trust managers, and ensuring all systems (CAFM, SharePoint, subcontractor portals) are kept up to date.
What You Bring:
- Proven experience in a similar administrative or compliance role.
- Self-motivated, adaptable, and able to work under pressure.
- Strong problem-solving, communication, and organisational skills.
- Good computer literacy, ideally with SharePoint or CAFM experience.
- Solid understanding of Health & Safety at Work regulations.
- NVQ Level 3 in Administration or equivalent qualification.
- Good numeracy and attention to detail.
- Willing to attend training and support continuous improvement.
