Your Role as a Chaplaincy Administrator
As a Chaplaincy Administrator, you will provide essential support to the Chaplaincy team by managing a wide range of sensitive and confidential administrative duties within a prison setting. You will be the first point of contact for incoming phone calls and emails to the department, responding professionally to queries from staff and with empathy and discretion when liaising with prisoners’ families. You will ensure that prisoner applications, complaints, and correspondence are correctly processed and forwarded to the appropriate departments, following established procedures.
Your role will also involve coordinating bookings for chaplaincy spaces, supporting the planning and delivery of faith-based and community-building events, and overseeing religious registration processes via CMS and PNOMIS. You’ll maintain up-to-date records for inductions, discharges, and ACCTs, manage appointment lists and registers, and input attendance data into NOMIS. Additional responsibilities include monitoring fabric faults, supporting orderlies with cleaning schedules, managing religious stock such as incense, and ensuring accurate material uploads for digital prisons. With work of a sensitive nature, this role requires a high level of professionalism, organisational skill, and a compassionate, respectful approach to supporting the spiritual care of those in custody.

The Ideal Candidate
- Previous experience in a similar administrative role.
- Proficiency with IT systems and applications.
- Ability to manage competing priorities and work effectively under pressure.
- Strong organizational and planning skills.
- Health, social welfare, or voluntary sector experience is desirable but not essential.
- Knowledge of the English legal system is desirable but not essential.
