Job Description:

We are currently looking for a Helpdesk Coordinator to join our team at Merville Barracks, Colchester, CO2 7UT, supporting a busy and dynamic Facilities Management operation within a defence environment. In this role, you will play a key part in the day-to-day coordination of maintenance activities across the site, ensuring all tasks are managed efficiently from initial request through to completion.

You will act as the central point of contact for all reactive and planned maintenance requests, taking ownership of task allocation, scheduling, and administration. This includes liaising with engineers, subcontractors, and internal teams, raising purchase orders, and ensuring all works are delivered in line with Service Level Agreements (SLAs), Key Performance Indicators (KPIs), and quality standards.

Working in a fast-paced environment, you’ll need to be highly organised, adaptable, and proactive, with the ability to manage competing priorities while maintaining accuracy across multiple systems. This role is critical in supporting operational performance, compliance, and delivering a high level of customer service across the site.

What you’ll do:

  • Coordinate and manage the full lifecycle of planned and reactive maintenance tasks
  • Plan, schedule, and allocate work to engineers and subcontractors to ensure timely completion
  • Act as the first point of contact for incoming maintenance requests, ensuring accurate information is captured and logged
  • Input, update, and maintain records within CAFM systems, ensuring all data is accurate and up to date
  • Monitor task progress, proactively chasing updates and escalating issues where SLAs may be at risk
  • Liaise with Service Delivery Teams to manage quotations, purchase orders, invoices, and remedial works
  • Raise and manage purchase orders for materials and subcontractors in line with operational requirements
  • Support procurement activities, including sourcing materials and ensuring compliance with internal processes
  • Coordinate Planned Preventative Maintenance (PPM) schedules, ensuring all tasks are correctly entered and completed
  • Maintain accurate records of completed work, including supporting evidence for audits and Barrack Damage claims
  • Support the management and coordination of specialist subcontractors and supply chain partners
  • Assist with invoice queries and provide timely and accurate information to finance teams
  • Identify service delivery issues and contribute to continuous improvement and problem-solving initiatives
  • Provide general administrative support including reporting, minute-taking, document control, and filing
  • Ensure all activities are carried out in line with company policies, procedures, and quality standards
  • Build and maintain strong working relationships with internal teams, clients, and external stakeholders
  • Participate in team meetings, briefings, and performance reviews
  • Support audit requirements and ensure compliance with Helpdesk and service delivery standards
  • Maintain a clean, safe, and organised working environment

What you bring:

We’re looking for someone who is organised, proactive, and thrives in a busy environment. You’ll be confident managing multiple priorities and able to adapt quickly to changing demands.

Essential Skills & Experience

  • Strong IT skills, including Microsoft Office and database systems

  • Experience working within a fast-paced, service-driven environment
  • GCSEs (or equivalent) in Maths and English
