About the Role

We are looking for a proactive and service-focused Deputy Facilities Manager to support the smooth, safe and efficient operation of workplace services across our London and Cambridge locations.

This role plays a key part in delivering a high-quality workplace experience by overseeing daily service delivery across Reception, Switchboard, Hospitality, Housekeeping and Facilities. Working closely with the General Services Manager, you will help ensure services are consistently resourced, compliant and delivered to agreed standards while maintaining an exceptional customer experience.

You will also champion a strong Health & Safety culture, ensuring that all workplace teams and subcontractors operate in line with Zero Harm principles and statutory compliance requirements.

Key Responsibilities

Operations & Service Delivery

  • Oversee daily workplace opening checks to ensure services are fully resourced and operational.
  • Manage hospitality services, meeting room coordination and pantry operations.
  • Ensure housekeeping teams maintain agreed cleanliness and presentation standards.
  • Oversee facilities activities including planned preventative maintenance (PPM) and reactive maintenance.
  • Support a seamless and professional front-of-house workplace experience.

Health & Safety

  • Promote and maintain a strong Zero Harm safety culture across all teams.
  • Complete daily, weekly and periodic T1 and T2 audits.
  • Ensure compliance with Risk Assessments, Method Statements and Safe Systems of Work.
  • Deliver mandatory training for Workplace Coordinators, Hospitality teams and Housekeeping staff.
  • Oversee subcontractor activity to ensure safe and compliant service delivery.

Leadership & People Management

  • Provide day-to-day leadership and line management for Workplace Coordinators, Hospitality teams and the Housekeeping Supervisor.
  • Conduct regular performance reviews and support team development.
  • Assist the General Services Manager with employee relations matters, including performance and conduct management.
  • Foster a positive, professional and collaborative workplace culture.

Administration & Compliance

  • Manage time and attendance processes, ensuring payroll accuracy.
  • Administer supplier invoicing, stock management and supplier relationships.
  • Maintain accurate documentation and compliance records within internal and client systems.
  • Support reporting and data collection to ensure all KPIs and service standards are met.

  • High levels of customer satisfaction and a professional workplace experience.
  • Services delivered in line with Service Level Agreements (SLAs) and performance KPIs.
  • A motivated, engaged team delivering customer-focused services.
  • Strong operational oversight with issues identified and resolved quickly.

About You

We are looking for a motivated professional with strong leadership and workplace service experience.

Essential skills and experience:

  • Experience delivering customer service or concierge-style workplace services within a corporate or multinational environment.
  • Experience managing multi-skilled service teams.
  • Knowledge of Health & Safety legislation and compliance requirements.
  • Experience managing HR processes such as payroll administration, training and employee relations.
  • Strong understanding of Front of House / Guest Services environments.
  • Excellent organisational and multitasking skills.
  • Strong communication and interpersonal abilities.
  • Proficient in Microsoft Office.
  • A proactive, hands-on approach with a strong customer focus.
