Job Introduction

To provide copy and audio typing support to all departments under the controlled supervision of the Police Office Manager (POM).

Role Responsibility

Context:

  • JSP 101 –The ability to comply with the conventions within the Defence Writing Guide.
  • JSP 441 – Being compliant in Information, Knowledge, Digital and Data in Defence.
  • Post holder will often complete sensitive and confidential administrative and typing tasks.
  • The post can be particularly busy and challenging therefore the post holder must have the ability to prioritise work.

Main Assignments:

  • To provide copy and audio typing support to all departments of the unit under the control and supervision of the Police Office Manager (POM) who will decide priorities of work, give guidance and instructions on procedures related to classified documents and on special requirements, i.e. formats.
  • To type the following for the administration office: all routine correspondence, routine orders.
  • To type the following for the police office; police reports and statements, situation reports.
  • To be fully conversant with the rules for typists and standards layout of service correspondence as laid down in Defence Service Writing and to comply with these conventions unless directed otherwise.
  • To check for obvious typing errors and omissions and to correct them to a high standard before submitting finished work. To carry out other alterations or re-types as required. To photocopy as required.
  • To exercise discretion regarding handling of information, which is sensitive, privileged or for security reasons.
  • Maintain a high standard of tidiness of the typing desk and surrounding area.
  • Switch off the electricity supply to the User Access Device (UAD) and printer when not in use and at the end of each working day.
  • Report any faults with the UAD to the Single Point of Contact (SPOC).
  • Secure all works, discs, documents, drafts etc during breaks and silent hours.
  • To be fully conversant and abide by the information systems security orders and data protection act, as issued.
  • To assist the POM in the Police Office in the process of casefiles and archiving and where possible general office assistance if required.
  • To maintain excellent client/customer relationships
  • To attend team briefs, huddles and meetings as required
  • To attend your performance development review to discuss job standards and agree development activities
  • To maintain a clean and tidy work area at all times
  • To maintain high levels of personal hygiene and wear the appropriate uniform and PPE as required
  • To care for all available resources including equipment, materials and supplies as directed
  • To report any near miss occurrences, accidents or faulty equipment to management
  • To ensure effective communication with line manager, team, customer and client organisation
  • To maintain all areas of responsibility to the set service standards and in line with applicable service offer
  • To carry out any other reasonable tasks and/or instruction as directed by management

The Ideal Candidate

Essential:

  • Security Clearance (SC) required.
  • Requires MODNET (Communications and Information System) Account and will be required to undertake Defence Information Management Passport (DIMP) training, which is a mandatory e-learning course.
  • Civil Service Manuscript Grading Test (30 wpm net speed); or acceptable external qualifications e.g. RSA Typing Skills Stage III (Advanced) - Pass or Text Processing III (Part 1) - Distinction/Pitmans Typing Advanced - First Class Pass/SCOTVEC Typing 6 or Typewriting 5 plus Copy Speed Test at 35 wpm/LCCI Higher Typing - Distinction or Third Level Pass with Proficiency Certificate and endorsement of speed test pass. 
  • Audio typing skills.
  • Knowledge of tables.
  • Good IT skills including knowledge of Excel.

Desirable:

  • Knowledge of military IT systems and environment.
  • Service writing and layouts. 
  • Able to tackle anything that’s asked.

Accountabilities:

  • Police work – audio typing from tapes, statements, case file numbering and anything else as requested.
  • Forms.
  • Letters for all unit personnel.
  • Daily Detail and repeats. 
  • Updating call out lists and dependants’ details and rosters.
  • Risk Assessments.
  • Wire diagrams, tables and work in Excel.
  • Produce labels etc. for department.
