SDX/TP/RF /CS - Events and Hospitality Co-ordinator

Job Introduction

  • Co-ordinating the booking of the meeting rooms, function hall and any other areas of the Club for hire by members or company employees.
  • Planning and organising events for members, GSK and external bookings
  • To liaise with internal and external caterers, housekeeping, bar, finance and any other personnel to ensure all requirements for the function/meeting are met
  • Meet clients to discuss their hospitality requirements
  • Actively promote, market and sell the use of the club facilities for private functions and meetings
  • Contribute ideas to the running of the Club, organise a full programme of events for all areas
  • Actively source suitable day trips for Club members to participate in.  Liaise with    external group travel organisers to provide the trips
    • Co-ordinate all financial aspects relating each trip, manage payment instalment plans and ensure reconciliation with finance assistant of each trip a minimum of 8 weeks prior to departure if required
    • Carry out all required administration tasks in relation to each trip
    • Ensure each trip is sufficiently staffed be it internally or by the group travel organiser to maintain high standards for Club members

 

  • Designing and advertising all Club events and activities
    • Working with the Bar Supervisor to ensure a full calendar of Club run events and activities
    • Liaising and reporting to the Social focus group on activities and progress
    • Ensure that information about club functions, trips or events are circulated within the company to those members who are no longer working for the Company.  Continually seek more efficient ways of distributing this information
    • Produce club posters, displays if required and liaison with other club staff
    • Complete payment sheets for different events and activities and communicate information to all staff
  • Ensure a full sporting programme of members activities and coaching for both adults and children
    • Research, marketing and organisation of internal and external sporting activities for both adults and children.
    • On going development and practical implementation of a programme of sports coaching for both adults and children. Introduction of new initiatives where appropriate.
    • Planning, programming and organisation of the use of the Club’s facilities by sections and general member use
    • Budget management and responsibility for the maintenance and development of sporting activities.
    • Further development of supervised sports activities and leagues within the Club for the benefit of members. i.e. putting, petanque and cricket 
    • Development and running of a programme of team building activities for the company.

 

  • Maintaining the Clubs website/Team site and social media pages including weekly communications to members and the onsite notice boards and site advertising

     

  • Keep abreast of new trends relating to social media, advertising and promotion

     

  • Fronting both Club and Private events that have been organised

     

  • Advise on and give service to all functions held on the club premises

     

  • Reception Duties – including till balance and cash up

 

  • Bar Duties – including checking in deliveries and till balances and cash up

 

  • Catering Cover – including checking in deliveries

 

  • Setting up of events, functions, meetings and Club activities

Skills, Knowledge and Experience

 

Essential

  • 2 years experience in the hospitality industry in a similar role
  • Front of house, administrative, housekeeping, events experience required
  • Good knowledge of various forms of communication and experience with social media
  • Excellent interpersonal skills
  • Flexibility within the contracted hours
  • Computer literate (Live Meetings, TCs, VTCs)
  • Strong team player and a ‘can do’ attitude
  • Intuitive and proactive nature
  • High moral standards with absolute integrity
  • Working to and achieving targets set
  • Experience within customer services or a customer-facing environment
