Location: London

Employment Type: Permanent (Monday-Friday)

Hours: 40 hours per week

About the Role

We are seeking a highly organised and detail-oriented Project Coordinator to support our project management team. You will assist in the planning, coordination, and execution of projects across office, retail, industrial, and mixed-use portfolios. This position is key to ensuring project milestones are met on schedule and within budget, while maintaining strong communication among internal teams, consultants, and stakeholders.
 

Key Responsibilities

  • Assist Project Managers in coordinating all phases of commercial real estate projects, from due diligence through design, permitting, construction, and closeout
  • Prepare, track, and update project schedules, budgets, and reporting documentation
  • Coordinate with architects, engineers, contractors, and vendors to ensure timely submission and review of drawings, proposals, and change orders
  • Maintain organised project files and documentation, ensuring data integrity in project management systems
  • Support the preparation of RFPs, contracts, and other procurement materials
  • Attend project meetings, prepare meeting minutes, and follow up on outstanding action items
  • Raise Purchase Orders on SAP, manage invoice review, budget updates, and financial tracking
  • Facilitate internal communication between leasing, design, operations, and accounting departments
  • Contribute to process improvement initiatives and ensure compliance with company standards and project delivery best practices.
     

Qualifications

  • 1–3 years of experience in project coordination, construction administration, or commercial real estate
  • Strong understanding of project management principles
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
  • Excellent written and verbal communication skills
  • Strong organisational and time management abilities with attention to detail
  • Ability to manage multiple priorities in a fast-paced environment 


 Preferred Skills

  • Experience with budgeting, cost tracking, or financial reporting
  • Knowledge in using SAP
  • Knowledge of construction documentation, permitting, and zoning processes
  • Familiarity with lease language and tenant improvement coordination
  • Exposure to sustainability or ESG practices in commercial development is a plus
