PPM Scheduler

Job Introduction

We are recruiting for a PPM Scheduler for 6 months based at a high profile FMCG contract in West London to work closely with our site based engineering team and sub-contractors to support the delivery of required services.

As PPM Scheduler, you will look after 5 client sites and you will be responsible for scheduling jobs, assigning to engineers, working on Maximo and raising PO's. Ideally you will be a strong coordinator, working with numbers and with experience in a similar role in an FM environment. 

This is a fixed term contract for 6 months.

Role Responsibility

  • To provide administrative support in the service delivery in line with best practice, statutory and mandatory compliance and to the SLA’s for the site.
  • You will ensure that all PPM’s, quotes and reactive tasks are scheduled and completed within the allocated timeframes co-ordinating with the helpdesk for closures and extensions of tasks.
  • Maintain an efficient and effective filing system for the technical service department, coordinating service reports, quotes following recommendations and scrutinising supplier quotations.
  • Supporting the Technical Team Senior Coordinator in collating month end information.
  • Receiving and distributing reactive calls to in house engineers and sub-contractors
  • Uploading of all paperwork related to reactive and planned works to Maximo, SAP/Basware and IMS
  • Ensuring the completion of all jobs (reactive & planned) within the agreed SLA’s through scheduling of works
  • Liaising with the in-house engineers and raising orders for materials as required
  • Liaising with the facilities management team to ensure the smooth running of works on sites    
  • Collate and manage quotations, liaising with sub-contractors
  • Update and maintain PPM planners & Maximo
  • Completion of the month end hard services billing files
  • Liaising with sub-contractors to ensure rams and SSOW are received prior to arriving on site, and all inductions are correctly completed before commencement of works on site (Permit writing may be required)
  • Ensuring all hard services files are maintained to remain compliant
  • All variable work is tracked, payment approval can be evidenced
  • Supporting of the completion of month end governance reporting in relation to hard services

Desirable

  • Prior knowledge of working on a multi-site facilities contract
  • Experience of working with Payroll and Billing systems (SAP, SAGE etc)
  • Experience of working with CAFM systems (Maximo, Evolution etc)
