Moves and Changes (MAC) Coordinator

The MAC Coordinator is responsible for coordinating all Moves, Additions, and Changes (MAC) across the our sites. This includes planning, scheduling, and delivering office reconfigurations, relocations, and workplace changes in a safe, efficient, and customer-focused manner. The role plays a vital part in supporting the client’s workplace strategy, ensuring compliance with regulations, maintaining accurate occupancy data and CAD drawings, and managing contractors and Sodexo’s MAC team.
As a Moves and Changes (MAC) Coordinator you'll:
- Moves & Changes Coordination: Plan, schedule, and deliver moves and workplace changes with minimal disruption to business operations.
- Stakeholder Engagement: Act as the main point of contact for MAC-related activities, maintaining strong communication with stakeholders, Sodexo teams, and contractors.
- Compliance & Safety: Ensure all MAC works comply with health & safety standards, building regulations, and client policies; review RAMS and manage permits.
- Contractor & Team Oversight: Supervise Sodexo fitters and external relocation partners during move activities to ensure safe and effective delivery.
- CAD & Occupancy Data Management: Maintain accurate CAD drawings, conduct surveys, manage master drawings, and provide monthly occupancy and measurement reports.
- Workplace Tools & Furniture Management: Oversee desk booking systems, agile neighbourhood layouts, workplace sensors, furniture requests, stock levels, and asset disposals.
- Financial Administration: Raise purchase orders, validate invoices, and monitor costs associated with MAC activities.
- Process & Continuous Improvement: Respond to ServiceNow MAC tickets, streamline reporting processes, and support workplace efficiency initiatives.
- Event Support: Assist the Events Team with additional furniture and staging requirements.
What we're looking for:
- Previous experience in moves and changes coordination, facilities management, or workplace services.
- Excellent organisational and planning skills; able to manage multiple projects simultaneously.
- Strong knowledge of health & safety regulations, building regulations, and safe systems of work.
- Proficiency in AutoCAD and space/workplace management tools(i.e. CAFMs).
- High attention to detail with strong focus on data and drawing accuracy.
- Strong communication and stakeholder management abilities.
- Experience managing contractors, suppliers, and in-house teams.
- Familiarity with financial processes (POs, invoices, budget tracking).
- Understanding of agile working and occupancy planning.
- Customer-focused with a proactive, problem-solving approach.
- Flexible and willing to support out-of-hours and weekend activities.
