Job Description:
We are seeking a highly organised and proactive Military Resources Clerk to provide vital administrative support to theJ5/J7 team within one of the busiest Army Brigades—16 Air Assault Brigadeat MervilleBarracks, Colchester, CO2 7UT. Thisis a pivotal role that ensures the smooth operation of the team's day-to-dayplanning, coordination, and travel logistics. Your organisational skillswill ensure that everything behind the scenes operates efficiently, whileproviding the support needed by our managers. You’ll interact with ArmedForces personnel daily, improving their quality of life and making a positiveimpact on all you encounter.
What You’ll Do:
Meeting Coordination
- Organise and support online and in-person meetings, planning conferences, and briefings.
- Manage scheduling across multiple time zones.
- Prepare agendas, distribute materials, record and distribute meeting minutes.
- Provide technical support for virtual platforms (e.g., Microsoft Teams, SECRET VTC).
- Book venues and oversee logistics for physical meetings.
Planning & Resource Allocation
- Administer and maintain MOD-specific software: CHURCHILL, SOR, OPUS, Defence Travel Tool.
- Support team members with training and troubleshooting.
- Monitor team planning tools and update resource schedules.
Travel Coordination
- Book air, rail, and accommodation using the Army’s travel systems.
- Ensure compliance with MOD policies while finding cost-effective options.
- Handle travel documentation (visas, itineraries, insurance).
- Act as a key point of contact for travel queries and updates.
- Maintain accurate expense and cost capture records.
General Administration
- Maintain and update online databases and filing systems.
- Conduct regular checks as an ePC Checking Officer.
- Archive and securely dispose of sensitive material in line with MOD standards.
- Attend team meetings and development reviews.
What You Bring:
- Prior experience in an administrative or support role.
- Proficient in Microsoft Office Suite.
- Excellent written and verbal communication.
- Experience coordinating meetings and booking travel.
- Tech-savvy, especially with online meeting platforms.
- 2 GCSEs at Grade C or above (or equivalent); or NVQ Business Administration Level 2.
- Security Check (SC) clearance or willingness to undergo vetting.
Desirable:
- Experience using MOD software or similar resource management systems.
- Strong time-management skills with the ability to multitask effectively.
- Knowledge of international travel planning.
- Previous experience in a military or high-tempo environment.
