Military Intelligence Company Clerk

Job Introduction

To provide administration and clerical support to all Coy personnel.

Role Responsibility

  • Office reception duties including answering telephones, greeting visitors, relaying messages within the Company, ensuring that matters are referred to the appropriate individual.
  • Maintenance of the Company filing system including sensitive personal information.
  • Maintenance of Joint Personnel Administration (JPA) (Defence’s online personnel management system) records as required. Including the moving and tracking of military personnel.
  • Maintaining and ordering of office supplies.
  • Checking and auditing of personnel allowances.
  • Assisting in the personnel Deployment Administration Checks (DAC).
  • Be prepared to give administrative advice and assistance to Company individuals.
  • Be Prepared to undergo further IT training as appropriate and necessary to complete role.
  • Collection of mail; daily or as required. Preparing the outgoing mail for despatch.
  • Distribution of Company orders and other Company HQ outputs.
  • Assisting Mil Clerk and Company Sergeant Major in monthly management checks.
  • Conference room bookings for Company HQ.
  • liaise with travel and movements clerk for the booking of travel and accommodation of Company HQ personnel.
  • Support and deputise for Military Personnel Administrator (MPA) in all administrative matters.

General

  • To continue to develop one’s own skills and knowledge within the position, including any required training courses.
  • To maintain excellent client/customer relationships.
  • To attend team briefs and meetings as required (online and face-to-face).
  • To attend your performance development review to discuss job standards and agree development activities.
  • To maintain a clean and tidy work area.
  • To maintain high levels of personal hygiene and wear the appropriate uniform and PPE as directed.
  • To care for all available resources including equipment, materials, and supplies.
  • To report any near miss occurrences, accidents, or faulty equipment to management.
  • To ensure effective communication with line manager, team, customer, and client organisation.
  • To maintain all areas of responsibility to the set service standards and in line with applicable service offer

The Ideal Candidate

Essential

  • Security Check (SC) clearance.
  • Requires MODNET (Communications and Information System) Account and will be required to undertake Defence Information Management Passport (DIMP) training, which is a mandatory e-learning course.
  • Experience of Microsoft Word, Excel, Skype and Outlook.
  • GCSEs (Maths and English) at Grade C or above, or equivalent; or NVQ Business Administration Level 2
  • Good Communication skills (verbal and written) and comfortable using Skype for business.
  • Completion of the Initial Personnel Administration Course within 3 months of taking up appointment. Course is classroom/online based and lasts 5 working days (this could be away from duty station).
  • Travel and overnight stays may be required on rare occasion.

 

Desirable

 

  • Knowledge of the JPA system (Defence’s online personnel management system).
  • Experience of working within a military environment.
  • Previous administration experience.
  • Flexibility to support/deputise the MPA in all personnel matters.

  • At the request of the employer, the post holder will attend appropriate courses in order to improve professional skills as detailed above.
  • Required to deputise for other personnel during periods of absence as directed by the employer.
  • Required to carry out any other reasonable duties which are commensurate with the trade and grade as directed by the line management.
  • May be required to work for limited periods of time unsupervised.
  • Due to the nature of the role, will need to be security cleared to ‘Security Check (SC) clearance’ level.
