Executive Personal Assistant

Job Introduction

Are you a highly experienced Executive Assistant or a Personal Assistant? With a confidentiality approach of a spy, organisation and planning skills of an airport dispatcher and Microsoft package skills like no other? We want to hear from you!

The role will mean being the right hand of the CEO for UK and Ireland and the Managing Director in Ireland – taking care of planning, reporting and presentations, diary management, travel management and expense management. You will be responsible for preparing and completing documents for board meetings. You will also be required to communicate with an array of internal and external stakeholders on behalf of the CEO. To do well in this role you will also need a sound business acumen and outstanding MS package skills. Excellent meeting minute taking is a must.

Role Responsibility

  • Proactive diary management
  • Organize meetings, ensuring preparation for all meetings with papers/packs.  Attend and support as requested.
  • Support visiting Executives from Corporate Services (including Globally) and ensure travel and meetings are managed effectively during their visit.
  • Arrange extensive domestic and international travel and visas including accommodation, car hire etc.
  • Act as the primary interface for the CEO, taking and screening calls/visits accordingly
  • The provision of administrative expertise, managing all forms of correspondence such as post, email, and faxes and taking minutes and dictation in meetings for recording and communication purposes.
  • Produce and update Excel spreadsheets and Power Point presentations
  • Accountable for organising all meetings on/off site in addition to client site visits & entertaining and all other associated events.
  • Supporting financial/budgetary activity such as invoicing queries/raising PO’s/expenses support

The Ideal Candidate

Essential

  • Previous Executive Administration experience
  • Competent with Microsoft office applications (including Outlook, Word, Excel, Publisher & PowerPoint)
  • Good numerical and verbal skills.
  • Excellent communication, organisational and administration skills, including editing skills and a keen attention to detail
  • Have worked in an environment where confidentiality is important.
  • Ability to resilient and adaptable
  • Good standard of general education
  • Ability to work both independently and as part of a team
  • Outstanding communication skills

Desirable

  • Proven experience within a similar role.  Experience of working with an extremely busy team with very high standards would be useful.
  • Previous experience in multi-country or multi-cultural teams.
