Engineering Support Administrator

Job Introduction

We have an opportunity to join the Sodexo FM Platform as an Engineering Support Administrator, this will be a varied administrative role which will work closely with a team of 13 Engineers, an understanding an interested in the terminology and services provided by the team is critical.

You’ll take accountability for monitoring progress to deadlines and liaise with the team to ensure they prioritise accordingly. You’ll own document templates and managed the teams sharepoint, proof read and format reports as well as coordinate travel requirements and organise meetings.

To be successful in this role you’ll be able to build brilliant working relationships with your team and the wider business, be an awesome & confident communicator and have exceptional organisational skills.

You’ll be home based with regular contact via video calls, email and phone to your wider team.

Role Responsibility

  • Proof-read reports ensuring correct templates are utilised, correct grammar, appropriate Executive Summary and NCR Actions are SMART
  • Provide administrative support to the team; organise and support meeting requests with both internal and external stakeholders & clients
  • Track and monitor inspection / audit / review schedule deadlines ensuring the team are on target to achieve of inspections / audits / reviews and submission of reports within agreed timeframes
  • Proactively manage the recording of all NCRs and OFIs identified within reports, to track their progress and close out by the Author
  • Analyse NCRs and OFIs providing detailed trend analysis by region, segment, contract or client as required
  • Manage documentation, templates and plans to ensure compliance to methodology and tools
  • Own the teams training matrix, identifying and organising when training is due
  • Ensure PS O365 SharePoint & DMS space is managed and maintained
  • Track and manage feedback to ‘Lessons Learned’
  • Supporting the writing and collation of presentation materials and printing of documents
  • Manage and book travel arrangements, raise purchase orders and order equipment and stationery (IT, PPE, etc..)

The Ideal Candidate

  • Proven experience of team organisation and coordination skills with strong administrative experience and brilliant attention to detail
  • Highly organised and responsive, with ability to deliver under pressure
  • Excellent documentation skills
  • High levels of computer literacy – Microsoft Office, Excel, PowerPoint, MS Visio and Outlook
  • Excellent communication skills with the ability to select the most appropriate method of communication with the ability to present professional information in a relevant and well-reasoned manner at all levels
  • Analytical thinker with the ability to make decisions by gathering and evaluating complex data and consulting others, seeing multiple cause and effects on likely outcomes
  • Resilient, able to work autonomously, and comfortable with rapid change
  • Ability to work openly and collaboratively
