Data Subject Request Assistant

Job Introduction

If you’re always looking to learn and develop your knowledge this interesting opportunity to join our Data Protection team as a Data Subject Request Assistant could be just for you!

You’ll need to understand the basics of Data Protection but will have a great team to support you with some of the more complex legislation and requests. You’ll have great organisation and administration skills, be able to work to deadlines and have a keen eye for the detail, you’ll be happy talking to different stakeholders and be confident in your ability to use different computer systems.

This position will allow you to enhance your knowledge of the Data Protection laws while working through administrative tasks an interesting and diverse range of cases / requests. There will be lots of opportunity to develop and learn in this role.

You’ll be based from the Salford People Centre, once it is safe to do so.

Role Responsibility

  • To monitor all requests, application forms and identification documents received and upload them into the SharePoint site;
  • To send out acknowledgement responses to any current Data Subject Requests in a timely manner;
  • To liaise directly with the relevant segment/dimension to collate the personal data in question and arrange for it to be uploaded into the SharePoint site;
  • Perform the action required for that personal data. Examples of required actions for valid requests: -
    • For data subject access requests redact all personal data of any individual who is not the data subject
    • For requests for rectification of data make the required amendments to the personal data
    • For requests for erasure of data- coordinate with the Senior DP Counsel, the segments and IT for the erasure of all of the requestor’s personal data in hard copy and electronic form
    • For requests for restrict data processing- coordinate with the Senior DP Counsel, the segments and IT to ensure any processing in relation that data subject is restricted
    • Assisting the Senior DP Counsel in respect of complex data subject requests
    • Send out the final response (including any documentation containing the requestor’s  personal data) to the requestor within the required 30 day period
  • Liaise with the PeopleCentre ER team and/or Employment Lawyers on data subject requests which involve or look likely to involve grievances or employment claims
  • Carry out HR administration processes, photocopying, dispatching and hastening outstanding data subject access requests and files.
  • To provide admin support in response to Data Subject Requests to ensure compliance with DP legislation.
  • To complete actions required ensure up to date maintenance of content in a Data Registry ensuring the storage, arrangement and indexing of the completed Data Subject Request work is retained in compliance with DP legislation.
  • Assist the Data Protection Team and wider organisation to ensure strict compliance to DP legislation and overall Data Governance.
  • Ensure that all processes and documentation related to DP SARs are robustly maintained, protecting integrity and quality of data and version control,
  • All tasks and interactions related to delivering the service are completed according to the principles & practice detailed within the Information Security Policy and any other additional security requirements for specific customer groups.
  • Provide support to wider compliance team with compliance administration processes

The Ideal Candidate

What’s essential:

  • Strong administration experience
  • Understanding of information or records management and using electronic information systems such as a corporate intranet or SharePoint. Attention to detail, particularly with data entry expertise and an awareness of the legislative and regulatory frameworks for information and records governance
  • Highly organised and responsive, with ability to work to SLAs and tight deadlines
  • Understanding of the GDPR legislation
  • Computer literate – Microsoft Office, especially Excel and PowerPoint.
  • Sound communication skills
  • Proven experience of managing multiple time critical requests

Where we can be flexible:

  • Experience of working with Data Subject Requests or Freedom of Information requests
  • An understanding of how to handle the SAR process and ensure a smooth customer experience
  • Experience of working in a shared service environment
  • Operational knowledge of SAP HCM   or other HR records management systems
  • Experience of working in a team environment

£18,000 - £20,000 per annum
