Being the go-to person for our team, you’ll be super organised and assisting with a variety of tasks, from supporting recruitment to finance, invoices and payments as well as responding to email/phone calls.

We want you to bring your can-do attitude, flexible approach, and your great reliability with you, when you join us. Don’t forget to bring you excellent attention to detail and exceptional communication skills too!

Being a team player is important, but you’ll also need to be able to work well on your own! Previous experience in a similar role would be ideal, but if you have great people skills, we’d love to hear from you!

Role Responsibility

 

 

  • To assist with administration relating to matchdays, including menus, drinks lists, signage, training material and all other collateral.

 

  • To complete HR administration in line with company policy and current legislation, including obtaining right to work documents.

 

  • To assist with matchday recruitment, inductions and training.

 

  • Effectively handle any sales enquiries in the absence of a sales co-ordinator ensuring all accurate information is recorded and delivered in a timely manner.

 

  • To  liaise with event bookers as required, delegates and guests, with a clear focus on customer service.

 

  • To cover reception as required.

 

  • To take event related payments as necessary, and support with payment reconciliation and debt management.

 

  • Communicate thoroughly and efficiently with all departments on site, both NUFC and Sodexo.

 

  • Handle, collate and take payment for internal bookings as well as bookings for any other special event as and when required to do so.

 

  • Assist in the creation and communication of mailing marketing campaigns to prospective customers.

 

  • Seize every opportunity to sell or upsell all facilities and catering always offering alternatives solutions where we cannot provide specific requirements requested.

 

  • Creation functions sheets as necessary using Priava events management system, ensuring information is communicated thereafter will all relevant departments. 

 

  • Complete any and all administration duties as and when required.

 

  • Ensure all necessary filing is kept up to date.

 

  • To ensure any sensitive information is stored securely, and in line with GDPR.

 

  • Attend all necessary team meetings, training sessions and one-to-ones as directed.

 

  • Be flexible & adaptable to changes, working in different areas as necessary due to business demands, to further develop own skills or in line with any reasonable request.

 

  • To complete any reasonable request.

 

  • To comply fully with all regulations relating to Health and Safety:-
  1. Fire precautions and emergency procedures
  2. COSHH
  3. Hygiene and Food Safety

 

The Ideal Candidate

Essential:

  • Confident and proficient in Microsoft Office.
  • Polite and professional telephone manner.
  • Previous experience in administration.
  • Ability to organise, multitask, prioritise and work well under pressure.
  • Adaptable to change and flexible in approach to work.
  • Previous experience in a customer facing role.
