Administrative Assistant

Job Introduction

To develop, grow and retain Sodexo business through supporting the operational team with full administrational support by assisting the management in the compliance of administration in relation to Safeguarding procedures with a key focus on process. The Administrator is responsible for the day-to-day administration processes and company updates, the role is key to ensuring company processes and policies are followed and compliantly within their location to a high standard.

 

The administrator must possess strong organizational skills with the ability to work as part of a team. The job is multi-faceted but the primary role is to support the recruitment and staffing functions effectively and efficiently whilst giving support to the Management team on a day to day basis.

Role Responsibility

  • Provide administration support for the recruitment of new starters to include preparation of application packs, reference requests, right to work verification, contracts and other document management
  • Process all Safe Screening DBS applications and check progress to completion in line with Safeguarding guidelines
  • Maintain the Central Register and submit monthly to Client and Sodexo Head Office
  • Assist with staff correspondence via Payroll or the PeopleCentre and to provide back-up information where necessary
  • Ensure that file management is maintained for all staff
  • Provide general administration support as required to include; Photocopying, managing Incoming / Outgoing post, preparing letters, filing scanning etc.
  • To maintain an efficient and auditable system for the receipt, circulation, filing and despatch of all correspondence including telephone calls and messages 
  • To support the processing of E ProphIT with the input of invoices and stock (if required)
  • To ensure that all external correspondence is written in a professional manner, compliant with Sodexo guidelines and sent in an appropriate format within agreed time limits to meet deadlines
  • Ensure confidentiality and timelines are adhered to in the administration of the employment life cycle
  • Development and update of administrative documents to make them more efficient and compliant
  • Logging information onto spread sheets and producing weekly/monthly reports
  • Update and maintain all employee files (Paper & Electronically)
  • Carry out any audits as appropriate
  • Update and maintenance of Employee notice boards
  • To work in conjunction with the others in your team to use resources and support when necessary
  • Payroll and employee processing

The Ideal Candidate

Essential

  • Good standard of English  literacy and numeracy
  • Experienced in using Microsoft Office Package
  • Self-motivated and able to work on own initiative within a team environment
  • Previous administration experience
  • Exceptional customer service skills
  • A flexible ‘can do’ attitude
  • The ability to multi-task within a fast paced environment
  • Flexible approach to support operations if required
  •  

Contextual or other information

  • Travel and overnight stays may be required to undertake training and business requirements
  • To attend meetings and training courses as requested
