Job Description:
As an Administrative Assistant at Saltend Chemicals Park, Hull, HU12 8DS. You'll be integral to the smooth running of the site,handling a wide range of administrative tasks. Your organisational skillswill ensure that everything behind the scenes operates efficiently, whileproviding the support needed by our managers.
What You’ll Do:
- Maintain a polite, courteous and friendly manner towards the public, the client, visitors and all Chemicals Park Partners.
- Managing and escalating any faults, damage onsite in line with agreed Security procedures, onsite Hazard Observation system and incumbent FM Fault Management procedure.
- Investigate unusual occurrences.
- To remain alert and vigilant to activity onsite to ensure risks are minimised through prompt action and escalation to the Security Manager/Supervisor and SSM.
- Report suspicious persons, vehicles, items or activities immediately to the Security Manager/Supervisor and SSM.
- To remain fully conversant with all Sodexo documentation, including but not restricted to Assignment Instruction, Site Operating Procedures, Health & Safety Briefings and Risk Assessments.
Administration
- To provide card issue, card management and access onto site for all Chemicals Park Partners when in SO115).
- To be fully conversant with the onsite security systems (C cure) ensuring data entry is accurate following the comany list provided.
- To deal with telephone enquiries where applicable.
- Ensure break times (Sodexo do NOT provide smoke breaks) are managed to ensure the effectiveness of contract delivery is not compromised.
- Attend any job development training courses in pursuit of contract development, to achieve the maximum standard required by Sodexo.
- To be fully conversant with Weighbridge Operations and all associated documentation requirements, checking delivery notes/goods receipt notes are correct and accurate.
- To be fully conversant with the procedure to enable Custom Notes to be released.
- To be fully conversant with the Intercom system to assist with access requests and queries remotely.
- Provide accurate and comprehensive shift log and Daily Occurrence Book details (via SPO in G2 and M120).
- To carry out the site Induction process when in SO115.
- To manage the visitor notification procedure.
- Ensure all drivers are aware of site procedures and fully aware of destination point. Provision of maps if necessary.
- Other Site Specific requirements as directed by the Security Manager.
Health & Safety
- Reporting immediately to the Security Manager/Supervisor and SSM any action or inaction which compromises safety.
- Maintain a healthy and safe place of work, ensuring all posts are in a clean and tidy condition at all times.
- Report missing, damaged or unserviceable equipment to the Security manager/Supervisor.
- To fully cooperate with Sodexo and the client to allow both companies to carry out its statutory duty under the Health and Safety at Work Act 1974, and all associated statutory provisions.
- Not intentionally or recklessly interfere with or misuse any property, equipment, IT hardware or systems in the interest of health, safety and welfare.
What You Bring:
- Must have SIA Licence
- A strong team-oriented attitude and excellent interpersonal communication skills, making you the key "people person" on site.
- The ability to prioritise tasks effectively and stay calm under pressure.
- Previous experience in a similar role is a plus, but if you're quick to adapt and have strong computer skills, we'd love to hear from you.
