As Event Coordinator, you’ll act as the primary point of contact for internal clients, vendors and stakeholders, coordinating and delivering internal events and catering across the Royal Academy of Arts.
You’ll play a key role in planning, logistics, communication and on-the-day delivery, ensuring events run smoothly from start to finish, even when lead times are short and priorities change.
This role reports to the Head of Events, with a dotted-line relationship to the General Manager.
Plan, coordinate and deliver internal events in collaboration with Royal Academy teams
Act as the main contact for clients, suppliers and internal stakeholders
Coordinate catering for internal meetings, including drop-off setups and post-meeting clearances
Manage event logistics including staffing, equipment, deliveries, storage and health & safety compliance
Administer event budgets, track spend and complete post-event financial reconciliation
Input and manage event details using Priava, Microsoft Teams and shared systems
Maintain accurate event records and reporting to support continuous improvement
Organise and manage a flexible, self-scheduled rota (typically Tuesday–Saturday, with occasional Sundays/Mondays)
Support café operations during quieter event periods, assisting with service and stock
Contribute to post-event reviews and service enhancements

Proven experience in event coordination, ideally within hospitality or catering
Food & beverage knowledge and operational experience
Strong organisational skills with excellent attention to detail
Confident managing multiple priorities and last-minute changes
Experience with budgets, invoicing and financial reconciliation
Excellent communication skills and a collaborative working style
Comfortable using Microsoft Office and event management systems (Priava desirable)
A proactive, customer-first mindset with a passion for service excellence
Flexibility to work evenings, weekends and public holidays as required
