Job Introduction

Role Responsibility

To support the GSM in London and for the UK at an operational, technical and business development level

To be responsible for all day to day aspects relating to the management and maintenance of the hard services and CAFM system within the contract specification to the agreed performance, qualitative and financial targets.

To provide a service to the agreed standards in accordance with the Service Level Agreements and Key Performance Indicators specified in the service contract

To actively enforce relevant statutory, company and site HEALTH AND SAFETY compliance together with the monitoring of related equipment/paperwork/due diligence documentation

To be responsible for scheduling of work within the specified details of the contract

Direct the work of staff to enforce statutory, Company, Client compliance to health, safety and standards

To control and manage the in-house tracking with regard to service task scheduling, in-putting of tasks done and monitoring outstanding works

To accept, log and allocate all requests for assistance and repair to ensure a speedy and diligent response to repairs in compliance with the rectification periods as laid down in the specification

To log and monitor all specialist sub-contractors visits to ensure total compliance with their contract responsibilities, such that minimal disruption is caused, compliance is maintained and all relevant documentation is kept up to date

To manage the CAFM system to ensure that service tasks and requests are not delayed by the lack of resources.  Within this system, periodic tasks, procedures and prioritisation of tasks are to be agreed.

To prepare weekly and monthly reports on subcontractors performance, calls and response rates and any other management information request

To prepare such additional information with regard to the contract performance or other aspects as may be required by the Client

To maintain accurate, up-to-date personnel records for all staff and subcontractors as laid down in the Unit HR Manual and in line with the Data Protection Act.  To keep records of any disciplinary issues and keep the management team informed of these

To monitor the performance of staff and monitor absence stats, keeping the General Services Managers informed of these

To take all necessary steps to ensure maximum security of confidential client or Company information and any other areas under the control of Sodexo

To co-ordinate and organise such statutory testing and periodic tasks as may be required or as necessary

To prepare such information as is required for the monthly meetings and the quarterly contract reviews

To complete and up-date the record system and to ensure that all records are maintained

To analyse complaints and call-outs so as to effect alterations and amendments to minimise failures

To have regular contact with the management team and to produce any reports as necessary pertaining to the current service or events

To be available to produce all billing back-up for the hospitality work/mailroom billing completed throughout the client sites and manage the request system

To assist where necessary the completion of all orders for materials, stationery, uniforms or other necessary products such that tasks are not delayed by a lack of resources

To facilitate minutes for meetings, produce typed minutes and circulate to the appropriate parties

To ensure full filing management is adhered to so as to maintain the retention requirements of the Company and adhere to all legislative requirements

To assist with all general enquiries and covering for periods of absence and general assistance for the technical services team

To report and to take action about customer and client complaints or compliments: to reduce the former and increase the latter

To maintain accurate records for all tasks completed, liaising direct with sub-contractors to instruct on jobs necessary or to provide information and to maintain all Sodexo correspondence including but not limited to the client systems and published reports

To attend meetings and training courses as required

To attend to and take all necessary action, statutory and otherwise in the event of accident, fire, loss, theft, lost property, damage, unfit food or other irregularities and complete the necessary return and/or reports

 
 
 

The Ideal Candidate

Technical backgrounds necessary to be able to understand the job scopes and to support the operational business activities

Literate, numerate and IT literacy required to manage and update the CAFM system and with the creation of the MI reports as required

Good interpersonal skills and ability to  communicate effectively with customers, clients, and staff

Act as an ambassador for the client OE and Sodexo HSE policies/process and culture

Ability to achieve and set standards and operate to performance criteria, with particular regard to the contracts standard and specification

Self-motivated - Sense of own initiative - Flexible approach to role

Good time management and organisational skills - Ability to work well under pressure

Previous experience in a supervisory role

Positive approach to learning in role and identifying own training needs as appropriate

Demonstrate effective communication (verbal and non-verbal) with all contract and company stakeholders, with ability to adapt to different audiences
