▪ The Regional System Administrator will support the regional and senior leadership teams by providing HR & Payroll system administration support across the region to drive the successful use and continual enhancement of the iTrent solution to meet the needs of the businesses and maximise value
▪ Responsible for maintaining and continuously developing the HR & Payroll system to ensure a positive and value add user experience at all levels, to ensure that it is utilised to the best advantage for the business and improves the overall service
▪ Responsible for providing advice and guidance to system users, and appropriate advice to the business on the future development of the system in an HR & Payroll context
▪ Facilitate in house system administration, to be self-sufficient and flexible, whilst supporting the needs of the business
▪ Provision of technical and operational advice and guidance to users on all aspects of the system
▪ To ensure that current and future business needs are reflected in the development and implementation of creative, innovative and appropriate strategies and plans.

Main Responsibilities
- Support the iTrent project team with the implementation of the core HR & Payroll system across the region
- Understand, assess and drive the future implementation of non core HR & Payroll modules and system functionality across the region to align to the wider business strategy people agenda
- Maintain a close working relationship with all key stakeholders to ensure the HR & Payroll system is supported and developed in accordance with strategic requirements
- Working with the business to analyse the impact of monthly upgrades (service packs or new releases) including module testing and process checking and managing these when the businesses are ready
- Advise and guide the businesses on system functionality, queries and access, primarily working with the senior leaders, super users, technology, and HR and payroll teams
- First line issue resolution before raising a case with MHR
- Working with the business to ensure timely and appropriate monthly upgrade installation
- User and security management – permissions and profiles, role changes for local system administrators
- Ongoing system improvement and development including impact analysis on each business
- System auditing and housekeeping including task list administration
- Organisation management – structure/departments/positions maintenance to reflect organisation change
- Ensure scheduled and unscheduled maintenance is adequately supported/communicated and impact assessed
- Lead on creation and maintenance of business specific training and development material and delivery (including documentation, user guides, internal moves) to upskill our people on the system and its full functionality
- Reporting – support the businesses to produce SMART MI with insights and trends
- Data management – provide data solutions and align data to those who require it
- Main point of contact with MHR team – account management, service desk/calls, logging/maintaining cases on the MHR service cloud, consultancy time, requesting upgrades or service packs through MHR service cloud
- Lead on quarterly review meeting with MHR Customer Relationship Manager
- Represent the businesses at MHR events (customer panels, regional user groups, MHR conferences)
- iTrent lead for disaster recovery and business continuity processes
- General system changes and maintenance, including but not limited to the following:
- Workflow creation and management
- Drop down/Pick list management
- Correspondence template reviews
- General system maintenance
- Retention policy adherence
- Form management
- Appropriate colour coding (test)
- Produce annual data and reporting for external parties such as gender pay gap reporting to ensure business compliance
- Interpret new legislation that impacts HR & Payroll, build/adapt existing processes to accommodate the changes
- Supplier liaison
Accountabilities
- Optimising the HR & Payroll system to ensure accurate quality data, control, validations and outputs
- Influencing improvements in processes to ensure efficiency and continuous improvement
- Review and implement iTrent upgrades through testing the impact of changes to ensure successful landing across all businesses
- Assessment and implementation of new functionality when appropriate (ie talent, performance management, reporting, surveys)
Person Specification
Essential
- Extensive knowledge and experience of corporate information systems
- Demonstrable record of extensive and successful experience of Microsoft (incl Outlook, Word, PowerPoint, Excel, PowerBI, SQL Server)
- Data management
- Excellent communication skills at all levels, with an ability to translate data into clear and meaningful outcomes and explain complicated matters simply, tailoring methods to suit the audience needs and understanding
- Understanding of the change management cycle
- Critical attention to detail, accuracy and consistency
- Excellent analytical, decision-making, and problem-solving skills
- Experience of training creation and delivery
Desirable
- Knowledge of UK & Irish HR and payroll legislation
- HR & Payroll systems development / implementation experience (iTrent / business objects)
- Proven track record in HR & Payroll system administration
- Process mapping and improvement knowledge
- Confident and candid, can challenge with humility
- High levels of energy, drive and resilience
