Technical Administrator

Job Introduction

We are currently looking to recruit an organised, experienced Technical Administrator to provide timely, well organised, efficient and high-quality administrative support to the Technical Operational Team at Royal Stoke University Hospital.

We are looking for a fast thinking, proactive individual to work closely with the team. You will maintain and update data and records and support the team to ensure compliance and targets are maintained throughout the contract.

To be truly successful in this role, you’ll be extremely organised with experience in compiling audit evidence within a technical, facilities management environment

Role Responsibility

  • Provide general administration support and advice to the Facilities Management team, liaising with the Helpdesk Team as required
  • Update documentation and records using a range of different IT systems to ensure information and data is always maintained and updated to reflect compliance
  • Review the technical jobs logged on the CAFM system and monitor subcontractor online reporting system
  • Ensure job sheets are complete with the correct information needed, logging as required
  • Ensure all departmental logs are up to date and training requirements are notified, communicating with the relevant managers as required
  • Collate information and data for contractual reports, taking ownership to obtain and collect the data and information
  • Produce contractual documents and export inspection reports
  • Establishment and maintenance of effective communications and working relationships
  • Attendance and minuting of meetings as required

The Ideal Candidate

What’s essential

  • Articulate and confident communicator, with the ability to develop and maintain effective and robust working relationships
  • Strong admin experience and use of various software packages
  • Proven experience of working within a similar role, with experience of audit and compliance within a technical facilities management environment
  • Great attention to detail and accuracy, with a commitment to continuous improvement and service excellence
  • Experience of being proactive and reactive
  • Proven IT skills, ability to demonstrate working knowledge of MS Office (Word, Excel and Outlook)
  • Good understanding of Health and Safety at Work regulations.
     

Where we can be flexible:

  • Experience of working in a Health Service context would be adventurous
  • Experience of using Sharepoint and CAFM / Maximo systems would be adventurous
