Service Contract Manager
Job Introduction
- To manage, control and review all Service Contract Providers and Vendors used at the Speke site in accordance with Sodexo and client policy and procedures, ensuring QSHE compliance.
- To develop and own the Site Service Contract database including the service contract annual budget
- To work with Sodexo QA, Management, and client Representatives to ensure all Service Contracts are reflecting the requirements of both client and Sodexo procedures
- Sodexo brand ambassador: implementing wider Sodexo initiatives to local site and focused engagement with regards to continuous improvement, social value and promoting what we do, via various methods e.g., ‘you said we did’ etc.
- Point contact for procurement of new and ad-hoc items as required. Including sourcing innovative technology to support continuous improvement.
- Sodexo ambassador promoting diversity and inclusion, employee engagement, stop hunger initiatives.
- Project Management of small projects local to site. Ranging from service/process improvements to facility upgrades for example. Liaising with vendors direct to ensure safe and efficient project delivery.
- Support and cover to Finance Admin raising POs as required
Role Responsibility
- To deliver a consistent level of quality service and accuracy across all Service Contracts, within the company’s standards, to the contract specification and agreed KPI performance, qualitative and financial targets.
- Ensuring all Service Contracts comply with Quality and EHS regulations and requirements.
- Identifying and agreeing KPI measures to demonstrate and manage service contract performance in conjunction with Sodexo Management team.
- To review and manage all vendors used by the Sodexo Team at the Speke, Liverpool site.
- Access site vendors PQQ via Sodexo Arcus system to ensure vendor PQQ is valid, the vendor has the correct insurances and any relevant accreditations required to complete work.
- Identify, propose, and implement initiatives to management to ensure best price and quality service.
- Align with Sodexo business strategies seeking implementation where applicable to local site e.g., social value etc
- Deliver agreed projects meeting QSHE, Financial and business expectations.
- Promote and organise social value and wellbeing initiatives
- Understanding of contract scope, including payment mechanisms, procedures, variation control and their importance to managing a site and the services provided including the ability to calculate the rewards and penalties of meeting / not meeting set KPI’s.
- Work efficiently with the Sodexo Team to ensure vendors are correctly reviewed and approved prior to completing works onsite.
- Any PQQ issues, escalate to Vendor Governance Team and inform GSM and Sodexo Contract Owner and follow through until confirmed 100% resolved.
- Ensure contract is being delivered in a cost-effective way for both the Client and Sodexo
- Responsible for Service contract budgets in line with Sodexo baseline parameters
- Review and manage the quality, service and financials of the services and introduce innovations in line with market trends and Sodexo initiatives.
- Request and negotiate quotes with suppliers, ensuring the level of service required by the client is met.
- Establish and maintain supplier relationships by serving as a key point of contact for Service Contract issues and contractual matters.
- Liaise with suppliers / service providers to obtain all required Risk Assessments, Method Statements, and training evidence to meet with all H&S requirements
- Implement agreed initiatives and projects within specified lead times.
- Complete Service Contract SLA documentation in accordance with local client and Sodexo procedures
- Create Service Contract purchase orders via SAP system and send to vendor.
- Ensure all assets are recorded and monitored to help prevent scope creep, adding / removing any assets or services to contracts using the CMR process.
- Develop and manage the service contract database, ensuring visits have gone ahead on time and Sodexo have been invoiced accurately and efficiently in accordance to agreed budget.
- Complete New Vendor Request forms as and when required including business case justifications for requesting new vendors.
- Effectively complete cost analysis for existing/new products/services changing vendors if required to ensure quality service at best price.
- Deliver cost saving initiatives for Service Contracts and any other vendors used onsite.
- Identify new opportunities for business growth or improvement and present to GSM
- Ensure all paperwork for service contracts is always complete and audit ready.
- Assist in internal and external audits, providing relevant information as required in a timely manner.
- Plan and host Service Contract review meetings with vendor, Contract SME, and Sodexo QA
- Review all vendors used onsite and ensure service contracts and site specific KPIs are set up as required
- Site specific procurement as and when required for both Sodexo and Client
- Own and manage the Site SOP for Service Contracts
- Produce and provide agreed month end reports for GSM and management team
- Ensure all costs and expenditure are within the budgeted levels agreed between the Client and Sodexo
- Provide support to senior management team as required, ensuring business contingency.
- Brand Ambassador: continuously improve communication and engagement across Sodexo team and client promoting Sodexo and the services we deliver.
- Work alongside and collaborate with client Engagement / Speke Together team to plan site events and grow partnership
- Raise POs as required to support and cover Finance Admin, ensuring service contract commitments are met.
