Planning Coordinator - Ascot Racecourse

Sodexo Live have a fantastic opportunity for a Planning Coordinator to join our first class team at Ascot Racecourse!

You will be working as part of the team at the iconic Ascot Racecourse where we are committed to providing our guests with an outstanding experience whether they come to race, hold a business meeting, or host a private dinner at our world-class venue and we are looking for a hard working and driven individual to become part of our team!

You will support with event day planning and administration for all fine dining hospitality requirements, working closely with the operational team to support delivery of racedays and events.

This is an exciting, varied position and you will play a key role in the success of our prestigious venue and become part of a high performing and successful team!

Role Responsibility

  • Coordinate all aspects of hospitality planning
  • Produce the menu packs required for each race day and ensure deadlines are met and all hospitality guests receive the correct information
  • Handle all telephone enquiries and ensure all queries are dealt with quickly and efficiently
  • Liaise with the kitchen, cellar and logistics teams to ensure all requirements are communicated and updated
  • Ensure the hospitality database is up to date
  • Ensure that all equipment, flowers, guest service requirements etc. are ordered in a timely manner
  • Work with the Marketing team to ensure that all new and existing food and beverage offers are photographed correctly
  • Field any complaints and ensure these are handled with by your Line Manager

The Ideal Candidate

  • Excellent customer service skills and professional approach
  • Ideally experience of working in the events and hospitality sector.
  • Ability to use Microsoft Office specifically Outlook, Word, Excel, PowerPoint and Publisher
  • Ability to manage multiple tasks and prioritise information in an extremely busy environment
  • A positive attitude and the willingness to support colleagues
  • An Excellent Communicator both written and verbally
