Job Introduction
Sodexo have a fantastic opportunity for a talented PA to join our team but be based working from home! The role will support our global healthcare team. Your focus will be to provide an efficient, effective & professional administrative support service to our Chief Marketing Officer and Senior Vice President.
You will be a dynamic, versatile experienced PA with a good understanding of confidentiality, a highly organised approach to your work and a positive, can-do attitude. This is a key role in managing the administration team for the CMO and SVP, including and interfacing with senior managers, clients and other teams across the business. Excellent communication skills are therefore essential as you will be liaising with a broad range of stakeholders.
You will be involved in a range of duties to include taking care of diary planning and management, reports, meeting arrangements and minutes, project co-ordination, general administration and being involved in a large variety of engaging tasks. Role Responsibility
- Proactive and efficient Executive diary management
- Monitoring e-mails and proactively action as agreed, ensuring deadlines are met by Executives and outstanding actions followed up.
- Organise meetings, ensuring that the Executives are prepared for all meetings with papers/packs etc. Attend and support as requested.
- Arrange extensive domestic and international travel and visas including accommodation, car hire etc.
- Act as the primary interface for the Executives, taking and screening calls/visits accordingly
- Administrative expertise, managing all forms of correspondence such as post, email and taking minutes and dictation in meetings for recording and communication purposes.
- Produce and update Excel spreadsheets and Power Point presentations as required.
- Maintain strict confidentiality on work undertaken on behalf of Executives.
The Ideal Candidate
Essential
- Strong understanding and respect for confidentiality
- Proven consistent experience as an Executive Assistant/PA and working in a team orientated environment
- Excellent relationship management and interpersonal skills
- Excellent verbal and written communication skills
- Excellent telephone manner
- Ability to work cooperatively within a team and on own initiative
- Proficient IT skills including MS Word, MS Excel and MS PowerPoint
- Self-motivated and self-starter, with ability to prioritise and schedule work independently
- Well organised, with ability to work to tight deadlines and pays attention to detail
- Flexible in terms of working times and responsibilities, e.g. out of hours work may be required with notice
Desirable
- Experience of working in a FM healthcare environment
Package Description
£32,000pa - £35,000pa + great benefits
WFH Remote some travel may be required to attend meetings and events requiring occasional overnight stays.
Fixed term maternity leave contract Sept 2022 to April 2023
Work Pattern - Monday to Friday 8.30am – 5.00pm 40hrs pw with flexibility
