About the Role

At Sodexo we know how important our fantastic family of Administrators are – keeping our business running smoothly for our colleagues and clients and we have an opportunity for an Office Administrator to join our team in Dublin.

Being the go-to administrator for our teams in our office, you’ll be super organised supporting in all thing’s admin related in our site!

You’ll be assisting with a variety of things from wages and compliance to reports and budgets, so you’ll never have to worry about two days being the same!

A few things about you

We want you to bring your ability to prioritise tasks, organisational skills and your experience of working in a similar role with you when you join us. Don’t forget to bring your IT knowhow too!

You’ll be customer and client facing and will respond to requests so having excellent customer service and communication skills is key. Being a team player is also important, there’s no ‘I’ in team!

As you’ll be dealing with sensitive information at times you must have excellent attention to detail as well as be able to always maintain professional standards of confidentiality.

Role Responsibility

Day to day duties include, but are not limited to:

  • Working closely with the Manager to provide daily administrative support
  • Diary and database management, accounts, filing and general admin tasks
  • Dealing with incoming and outgoing calls, emails and post
  • Monitor and manage visitor access and maintain security awareness
  • Eprophit administration, processing of delivery dockets and invoices, assist with closing books
  • Keeping records of free issue and preparation of monthly reports
  • Updating budget, waste and stock records
  • UDC billing
  • To undertake the preparation of reports as needed (weekly & monthly)
  • Collate Monthly Reports: customer complaints / compliments, promotions, improvements, accidents, incidents, near misses, safety walks and other KPI’s for reviewing with catering Manager and forward to Group Manager
  • Collate Maintenance Log ensuring all maintenance issues are reported, recorded and followed upon
  • Updating daily menus, menu display screens, allergen information, preparing and printing of food labels
  • Update menu design seasonally. Prepare menus and posters for theme days and promotions
  • Hospitality – collate service requirements onto weekly schedule (occasional duty)
  • Room booking from time to time to include hospitality requests and IT requirements
  • Keep Personnel and Training files updated
  • Keep Safeguard files updated with assistance of the Catering Manager Maintaining catering databases, keeping up to date and inputting details
  • Liaising with clients and suppliers
  • Preparing and distributing agendas for meetings
  • Project support when required
  • Implement office process improvement initiatives
  • Other administration duties as required
  • To attend meetings and training courses as maybe necessary time to time
  • To assist with service operations when required
  • To accept responsibility for specific areas, as specified by Catering Manager, to ensure the smooth running of the catering office.
