Job Introduction

 

 

We are currently seeking a Maximo Data Steward to work in one of our Cork sites.

We are looking for someone with excellent organisational skills, the ability to prioritise their workload and have the ability to communicate effectively with a range of audiences.

You will be working as part of a team but you will at times be expected to work independently and under your own initiative.

Role Responsibility

  • Receive tickets on the helpdesk and make requests for engineering and facilities assistance
  • Log all tickets received and prioritise in a predetermined category as defined with the helpdesk Operating Procedures
  • Issue, receive and enter maintenance information into Maximo
  • To close all work orders on the day they are passed back to the helpdesk
  • Undertake day to day administration in association with the helpdesk and facilities department, including those duties which are required to fulfil our contractual obligations
  • Act as a central source of information dealing directly with customer queries in a professional and courteous manner
  • Assist in the production and compilation of various reports.
  • Continually improve service delivery through the operation of the helpdesk
  • To comply with all applicable H&S legislation to ensure company and individual responsibilities are met
  • Co-ordinate with the facilities team in relation to ongoing planned and reactive maintenance
  • Control all contractor / in-house work orders to ensure compliance with site KPI’s
  • Enter and maintain all information on a database (e.g. log the call, allocate details through to completion, including action taken and hours expended).
  • Issue, receive and enter maintenance information into Maximo.
  • Contact the job requester (Via e mail or telephone) and give status report
  • Undertake day to day administration in association with the Help Desk and facilities department, including those duties which are required to fulfil our contractual obligations.
  • Act as a central source of information dealing directly with customer queries in a professional and courteous manner.
  • Undertake follow-up actions needed to resolve situational circumstances for which you have been pre-authorised to undertake.
  • Assist in the completion of work orders and information to be electronically and manually undated.
  • Supporting other areas which may require assistance from time to time in general administration and support duties.
  • Be proactive with regard to maintenance and extra works (create Maximo PM’s).
  • Provide assistance to update inventory assets.
  • Provide Maximo training for new starters specific to their role
  • To identify and input realistic labour hours for planned works.
  • Drive/support a more formal process for Maximo additions/deletions and changes.
  • Train new users on ‘Business objects’.
  • Support the engineering team when necessary.
  • Undertake day to day administration in association with the Helpdesk and Information Centre department.
  • To carry out monthly PM printing and distribution.
  • To ensure the availability of essential computer systems and data in support of the engineering and facilities management business functions
  • Understand business process, and advising and implementing optimum use of Maximo.
  • Understanding and implementing corporate guidance on the use of Maximo.
  • Data Management.
  • Ad hoc Maximo data maintenance in support of the business.
  • Provide technical support to users of Audio/Visual equipment as needed.
  • Ensuring that Maximo data is accurate and comprehensive for supported functions.
  • Provision of expert support to Maximo users.

The Ideal Candidate

Essential

  • Two years experience in an office environment
  • Competent knowledge of Microsoft packages including Word, Powerpoint, Excel
  • Knowledge of computerised database systems and procedures
  • Confidence and commitment to providing a high quality, professional service
  • Excellent written and verbal communication skills
  • Ability to prioritise work tasks
  • Adaptable and flexible in approach to work required
  • High level of organisational skills
  • Ability to remain calm under pressure

  • Training in Word Processing
  • Computer literacy

Desirable

  • Working knowledge of Maximo or similar computerised PPM package
  • Previous helpdesk experience within facilities management
