Leave & Movements Clerk

Job Introduction

To administer leave and manage the bookings of all movements in support of the Regiment’s activities.

Role Responsibility

Context/Main Issues:

  • Maintain all leave files in accordance with current regulations
  • To be the central point of contact for all personnel leave and movements bookings
  • Make reservations for movements by ferries, train or flights for military personnel and their dependents on assignment
  • Maintain manual movement registers in line with current regulations
  • Manipulate the MOD database to provide statistical information on leave and movements as required
  • Manage hotel reservations through the Central Hotel Booking Services for military personnel and their dependents on posting

Main Assignments:

  • Maintain all leave files in accordance with current regulations
  • To be the central point of contact for all personnel leave and movements bookings, as well as arrivals and departures
  • Make reservations for movements by ferries, train or flights for military personnel and their dependents on assignment
  • Maintain manual movement registers in line with current regulations
  • Manipulate the MOD database to provide statistical information on leave and movements as required
  • Manage hotel reservations through the Central Hotel Booking Services for military personnel and their dependents on posting
  • Electronically process debit vouchers for loss/damaged items
  • Issue chits in lieu of MOD ID cards when necessary
  • Issue HM Forces railcards and processing payments on electronic database
  • Manage and maintain the Domiciled Collective Leave (DOMCOL) register
  • To maintain excellent client/customer relationships
  • To attend team briefs, huddles and meetings as required
  • To attend your performance development review to discuss job standards and agree development activities
  • To maintain a clean and tidy work area at all times
  • To maintain high levels of personal hygiene and wear the appropriate uniform and PPE as required
  • To care for all available resources including equipment, materials and supplies as directed
  • To report any near miss occurrences, accidents or faulty equipment to management
  • To ensure effective communication with line manager, team, customer and client organisation
  • To maintain all areas of responsibility to the set service standards and in line with applicable service offer
  • To carry out any other reasonable tasks and/or instruction as directed by management

Accountabilities:

  • All leave files and moment registers to be maintained and updated
  • All movements to be booked for military personnel and their dependants
  • All accommodation to be booked for military personnel and their dependants
  • DOMCOL register to be maintained and updated

The Ideal Candidate

Essential:

  • Administrative experience in a busy office environment
  • Good IT Skills – Microsoft Office applications
  • ECDL
  • Ability to work to tight deadlines as well as prioritise, organise and plan
  • Excellent interpersonal and written communication skills
  • 2 GCSE at Grade C or above, or equivalent; or NVQ Business Administration Level 2
  • SC Clearance requirement to work within Joint Personnel Administration (JPA) system (to be applied for as soon as hired)
  • Requires MODNET (Communications and Information System) Account and will be required to undertake Defence Information Management Passport (DIMP) training, which is a mandatory e-learning course
  • Requires JPA log in and account (to be applied for a minimum 2 weeks in advance)
  • Initial Personnel Administration Course (IPAC) -  (JPA).

Desirable:

  • Knowledge of military IT systems and environment
