Learning and Development Administrator

Job Introduction

HMP Northumberland are looking to recruit an Administrator to provide responsive, effective and efficient administration support to the centralised Learning and Development (L&D) service within the newly established Centre of Excellence across Sodexo’s Custody estates.

The Centre of Excellence is based at HMP Northumberland and  provides L&D administration services to our prison sites and manages the learning offer for our employee’s through Microsoft O365 and our learning management system (LMS) Ingenium. Previous Learning Management experience would be an advantage as well as knowledge and experience of using; Planner, Stream, Forms, Sharepoint & Teams.

This role will report into the L&D Co-ordinator and the Administrator will be responsible for supporting the wider L&D strategy and centralised administration functions across the estate to support the delivery of the administration services with a focus on innovation and implementation of digital tools and processes to streamline services.

Role Responsibility

  • Complete tasks in line with company policy and procedures.
  • Develop effective on-going relationships at all levels across central L & D services establishing yourself as a credible, respected and valued administrator, responding to queries directly and influencing managers to follow a best practice approach.
  • Support the delivery of centralised Sharepoint administration processes, for example; registers, training schedules, communications, centralised calendars etc.
  • Support the L & D Business Partner in planning and implementation of organisational changes, L & D projects, workstreams, and initiatives that support the Centre of Excellence business strategy.
  • Collation of weekly and monthly reports using in house systems; Ingenium, Microsoft, for Executive, L & D Team and wider teams as the centralised service evolves.
  • Proactively spot/implement opportunities to improve team ways of working supporting the L & D Advisor and L & D Managers to identify problems and find solutions.
  • Providing L & D support for ad-hoc operational business related projects, for example; new business wins, L & D workstreams, training events, etc.
  • Support the movement from paper based processes to new digital platforms, e.g Microsoft 365 tools.

The Ideal Candidate

  • Experience of working in a similar environment or Administrator role
  • Excellent knowledge and skills in MS Office Packages; Sharepoint, Office 365, Teams. Use of Visio (Desirable)
  • Experience of working under pressure and to deadlines
  • Experience of digitalisation of paper based processes
  • Able to manage competing work priorities

Personal Qualities

  • A real passion to work in a people orientated role and implement digital tools and new ways of working to continuously improve the centralised service.
  • Great organisation and administration skills with good attention to detail
  • Comfortable and confident to communicate with people from all levels of the business
  • Have plenty of initiative to problem solve with a real 'can do' attitude
  • Have a great attitude to work and be able to work within the boundaries set as part of the new centralised service

Package Description

Starting salary of £18,450 per annum.

Excellent benefits including free onsite parking, shopping discounts and pension.

37.5 hours per week
