Junior Staffing Coordinator
Job Introduction
In preparation for a busy and exciting summer of events, Heritage Portfolio are looking for a junior staffing coordinator to join their staffing team until the end of September 2023. Our staffing team are responsible for recruiting and training our large casual workforce who work at events across our venues in and around Edinburgh.
No two days are the same; you could be supporting with telephone interviews and prepping for inductions one day and the next, be out on-site checking our team in at one of our venues.
We are responsible for supporting all of our event venues to ensure that the company’s staffing requirements are always met and have the best team in place that employees work in a friendly, and supportive environment.
The role will be a hybrid of working from our head office, at some of our stunning venues and from home – the amount of time spent at each will vary dependant on business requirements.
This is a really great opportunity for someone who is looking to gain experience in the recruitment industry and learn new skills, whilst being part of amazing events across Scotland.
Role Responsibility
Main elements of the role:
- Support with onboarding administration, e.g. right to work checks, prepping for induction dates and monitoring completion of applications
- Conducting short telephone interviews with candidates
- Supporting with payroll administration e.g. entering timesheets into our payroll system and returning hours to our agency partners
- Supporting staffing coordinator with day to day administration involved in booking staff for upcoming events
- Preparing paperwork and setting up venue for large scale events – this will involve creating timesheets and prepping the staff check in area
- Check in staff at smaller events and supporting on larger days.
- Support with on-call 2 days per week
- Complete any other admin, as required.
The Ideal Candidate
Ideal Candidate:
- Previous experience in hospitality would be beneficial but not essential.
- Competent with Microsoft Word, Excel, Outlook & ideally Canva
- Has a good eye for detail and is highly organised
- Good verbal and written communication skills
- Enjoys interacting with people
- Excellent time management
- Ability to multi-task in a fast paced environment
- Someone who has their own transport – some of our venues are outside of Edinburgh city centre (e.g. Perth Races), so own transport would be essential
Package Description
- 30 Hours per week
- £11.35 per hour
- 6 month contact - possibility this may extend
- 4 - 5 days per week depending on business levels – this will include weekend work and some evenings.
