Full Time SIB Typist
Job Introduction
To provide clerical support to the chain of command.
Role Responsibility
Typing of statements and audio/visually recorded interviews.
The receipt and booking in of all official mail.
The copying of correspondence or other documents prior to despatch.
Answering phone calls and dealing with all queries and relaying messages accurately.
Monthly submissions to MT.
Ordering stationery to ensure adequate supply whilst keeping within budget.
Uploading of documents for all Police investigations.
Assisting in the archiving of police investigation files
Ordering Police forms.
Scanning documents.
Compiling photographic supplements.
Booking in property and registering of tapes/DVDs following interviews.
Any other administrative tasks as required.
General
To continue to develop one’s own skills and knowledge within the position, including any required training courses.
To maintain excellent client/customer relationships.
To attend team briefs and meetings as required (online and face-to-face).
To attend your performance development review to discuss job standards and agree development activities.
To maintain a clean and tidy work area.
To maintain high levels of personal hygiene and wear the appropriate uniform and PPE as directed.
To care for all available resources including equipment, materials, and supplies.
To report any near miss occurrences, accidents, or faulty equipment to management.
To ensure effective communication with line manager, team, customer, and client organisation.
To maintain all areas of responsibility to the set service standards and in line with applicable service offer.
The Ideal Candidate
Essential
Able to show a good standard of education
Basic IT Skills
Typing – Audio/video transcription (audio typing training available for successful candidate)
Knowledge of uploading on the Redcap system to SPCB - in-house training to be provided.
Problem solving
Eye for detail – spotting typing errors and mistakes prior to despatch of reports etc.
Civil Service Manuscript Grading Test (30 wpm net speed); or acceptable external qualifications e.g. RSA Typing Skills Stage III (Advanced) - Pass or Text Processing III (Part 1) - Distinction/Pitmans Typing Advanced - First Class Pass/SCOTVEC Typing 6 or Typewriting 5 plus Copy Speed Test at 35 wpm/LCCI Higher Typing - Distinction or Third Level Pass with Proficiency Certificate and endorsement of speed test pass.
SC clearance to be obtained prior to appointment
Defence Unit Post Operator/Supervisor qualification, to be obtained within first two-months of employment.
Contracting, Purchasing and Finance (CP&F) qualified which will require completion of an e-learning course.
Desirable
Intermediate office IT skills
Knowledge of Adobe/MS Office software
Knowledge of military distribution styles
