Food & Beverage Administrator

Job Introduction

We are looking to add a Food & Beverage Administrator to our team at The Wallace Collection, located in the heart of Manchester Square, serving breakfast, lunch and afternoon tea daily within a stunning courtyard setting. The venue is open 10am – 5pm, so enjoy a great work life balance with daytime hours – this role will predominantly be Monday-Friday, however as the venue is open 7 days a week occasional weekend work will be required. Any overtime worked (over 40 hours) will be paid.

This role will support the General Manager and Head Chef with administrational support at The Wallace Collection, with a key focus on compliancy and process. The Administrator is responsible for the day-to-day coordination of the Support Office administration processes and table bookings, the role is key to ensuring the General Manager and Head Chef are supported day to day.

100% of Gratuity is split equally between the whole team regardless of their role, based on hours worked. Over the last 6 months (October 2022-March 2023), the average gratuity that the team received was £3.90 per hour added to their wage. Based on this average, the examples below show how much extra a member of the team would have earned in that time dependent on hours worked:

20 Hours = £78.00 per week

30 Hours = £117.00 per week

40 Hours = £156.00 per week

Role Responsibility

  • Assisting General Manager and Head Chef with day to day administration support
  • Processing and preparation of invoices
  • Inputting stocktake figures
  • Monitor telephone calls and emails including reservations
  • Reservation queries logged in online platform
  • Place daily and weekly F&B orders and update order log according
  • Loading staff rota into time and attendance system
  • Taking meeting minutes and distributing as appropriate
  • Order stationery and office equipment as required
  • To ensure that you project a positive and professional impression at all times
  • To attend company training courses, conferences and meetings as requested
  • Occasional receptionist/hostess cover on the floor as required by business

The Ideal Candidate

  • Good standard of English literacy and numeracy
  • Experienced in using Microsoft Office Package
  • Self-motivated and able to work on own initiative within a team environment
  • Previous administration experience in a busy environment
  • Exceptional customer service skills
  • A flexible ‘can do’ attitude
  • The ability to multi-task within a fast paced environment
  • Flexible approach able to help within the restaurant environment if required
  • An understanding of online booking systems is desired but not essential. i.e. The Fork and/or Open Table
