Fleet Administrator / Supervisor

Job Introduction

We're looking for a Fleet Administrator / Supervisor to join our team on a 6 month FTC. You will manage the AiP Group fleet (company car and vans) to ensure that all vehicles are maintained to their service schedule, the fleets is allocated to new starters/returned from leavers and to arrange repairs for all vehicles

You will be the point of contact for the Sodexo Fleet team and support the transition of the management of fleet to Sodexo 

Role Responsibility

  • Ensure vehicles are appropriately allocated to users and the Sodexo Fleet team are informed of all allocations
  • To pro-actively manage MOT appointments and service schedules across the fleet
  • Source and arrange ad-hoc repairs and maintenance to vehicles
  • Ensure driving licences have been checked and the appropriate licence is in place for all drivers of company vehicles
  • Ensure the insurance company is informed of all company car drivers
  • To ensure vehicles are returned in a clean condition and the appropriate line manager informed if this is not the case
  • To process invoices associated with fleet
  • To raise any concerns to line manager
  • Be the point of contact and support the transition of AiP fleet to Sodexo, ensuring data and information is provided at key stages
  • To support ad-hoc administrative tasks within the Finance team, where required

The Ideal Candidate

  • Good organisational skills and attention to detail  
  • Comfortable working at pace and managing their own responsibilities
  • Experience of working in a high volume, fast-paced environment
  • Demonstrable communication skills with colleagues, especially operations
  • Works well in a team, maintains a collaborative approach
