Facilities Assistant

Job Introduction

The Facilities Assistant is responsible for delivering the day to day range of facilities services across the site.  The key focus for this role is to ensure that all services are delivered in a confident, efficient and timely manner with least interruption to the customer.

Role Responsibility


  • Provide support and cover for all departmental operations as required and to other departments as requested and reasonable.
  • Respond positively, politely and promptly to all customer requirements and carry out your duties in a professional and courteous manner.
  • To provide a daily cleaning service of the highest standard possible to the client (General and GMP cleaning).
  • Maintain the highest standard of cleanliness within assigned areas by ensuring that the relevant work instructions and standard operating procedures (SOPs) are followed 

Main Assignments:

  • Service, replenish stocks, clean and maintain all housekeeping areas to the Sodexo required standards set out, ensuring customer requirements are met and their needs are anticipated
  • Manage the collection and disposal of confidential waste to the designated container
  • Assist with or advise on, any request to move items in, around and between business premises on behalf of the client.
  • Perform routine daily duties for the collection and correct disposal of recycling and general waste streams as required.
  • Replenish paper & toner cartridges within multi-functional devices as and when required
  • Deliver and collect mail to predetermined destinations.
  • Prepare, send and receive regulated documents
  • Ensure regular checks of the equipment and machines used during the working day.  Any faults/ defects to be reported to Team Leader.
  • Assist with setup and maintenance of meeting and conference rooms if required
  • Replenish, clean and fill vending machines with supply’s following Sodexo guidelines
  • Basic food handling, hygiene and storage will be required and trained to the applicant if needed
  • Ensure all tea rooms maintain stock of consumables
  • Check and tidy/litter pick external areas
  • Carry out & complete any Helpdesk requests within the set time frames
  • As and when required assist with other tasks within your capabilities to maintain and improve services within the premises.
  • Attend training sessions as and when required.
  • Start work on time and adhere to break times whilst on duty

The Ideal Candidate


  • Strong customer services skills and experience
  • Service orientated attitude combined with innovative thinking
  • Strong team player within a high-quality customer service operation
  • Good understanding of IT systems (MS Office, MyLearning, e-Logs for example)
  • Be self-motivated and work under pressure to balance conflicting deadlines is essential
  • Communicate effectively with a wide range of customers and multi-service team service personnel to achieve results
  • GxP training to be maintained at required levels at all times
  • Knowledge of Health and Safety
  • Ability to work under pressure to balance conflicting deadlines
  • Organized methodical and flexible approach to meet deadlines and system requirements


  • Experience of working in a compliance driven environment
  • Able to complete relevant paperwork according to principles of Good Documentation Practice
  • Food hygiene training
