Compliance Manager (Hard FM)

Job Introduction

We are currently looking to recruit an experienced Compliance Manager to oversee the statutory and contract compliance of all planned and reactive works (hard FM) across the Exeter schools estate.

In this role, you will act as the operational interface between the client(s) Hard Services Managers, Facilities Managers and Contract Director, including day-to-day liaison with Maintenance Operatives and sub-contractors regarding planned works to ensure compliance and best practice.

Role Responsibility

  • Ensure that PPM tasks are completed within the required timescales and that statutory PPM’s are undertaken prior to the anniversary date
  • Receive reports from contractors and maintenance operatives following completion of PPM tasks
  • Escalate to Hard Services Manager / Contract Director any defects and recommendations identified in contractors’ reports
  • Log defects and arrange for corrective and remedial actions.
  • Upon completion of works, ensure standards and audit trail of necessary documentation for audit purposes.
  • Identify outstanding works and follow-up with maintenance operatives or contractors as required
  • Ensure that all relevant paperwork, checklists and documentation is provided for PPM tasks and uploaded in to CAFM system upon completion.
  • Record PPM data in spreadsheets (e.g. water monitoring) to aid with the identification of trends and out-of-scope readings
  • Produce reports showing the status of compliance across the contract.

The Ideal Candidate

  • Previous experience in a compliance role within hard FM
  • Organized and methodical approach to tasks
  • Excellent communication and interpersonal skills
  • Good understanding of building fabric and building engineering services assets
  • Experience of working in a building services environment.
  • Experience of collating and reviewing data in a qualitative manner
  • Working knowledge of Global Maximo (or similar CAFM system) and SAP
  • Excellent data manipulation skills using relevant Microsoft systems
  • Customer-facing attitude and excellent team building skills
  • Strong analytical skills and attention to detail
  • Proficient IT skills, including Excel, Word & Microsoft Office
