Asset & Compliance Manager

We are looking for a new colleague in our team in Brentford supporting a prestigious global client of ours. You would be responsible for the development, on-going maintenance and update of the asset database for the West London and Dublin Property portfolio. A key element of the role is to ensure that appropriate asset information/history is collected and maintained in the CAFM system (Maximo) such that appropriate capital investment plans can be developed for delivery by the Sodexo Small Works Team and Client’s Capital Projects Team. The role will also include the development of appropriate technical reports, analysis of technical data and the preparation of critical engineering reports based on information requested from the engineering teams and supply chain.
We offer a salary up to £55,000 dependent on experience, flexible benefits package as well as excellent progression and development opportunities within the company.
Role Responsibility
- Develop and implement Sodexo’s asset management policies and procedures for the Contract, including training of engineering operatives.
- Add, amend and decommission assets within Maximo to ensure the asset database reflects all changes in the portfolio.
- Establishing and communicating the process for asset adoption within the portfolio, including the adoption of new buildings within the portfolio.
- Ensuring that third party contractors working within the portfolio comply with our project notification and asset adoption processes.
- Carrying out the necessary changes to Maximo via an FO form for all newly installed assets from any Capital Projects and manage the GSK change control process for the WREF commercial property as required.
- Establishing the process for asset surveys to new properties within the portfolio including asset list production, costing and Maximo data loads.
- Plan and co-ordinate with the engineering team all service visits and remedial works required to carry out works following planned maintenance activities.
- Ensure Maximo data builds are undertaken for all new assets such that appropriate PPM is implemented.
- Develop and maintain monthly reports for asset additions, deletions and changes in accordance with Sodexo SOPs
- Develop, implement and update Standard Operational Procedures (SOPs) for the delivery of Planned Maintenance activities within the portfolio including training of Engineering Operatives, planners and administrators.
- Prepare monthly PPM plans for the Operations Teams to deliver.
- Develop and maintain PPM performance reports across all service lines. Reports are to capture all activities and be filtered by supplier.
- Liaison with the client’s Statutory Insurance Inspection provider (Zurich) and maintenance of the client’s compliance database as well as accessing Zurich’s Crimson database to ensure no overdue inspections.
- Will have full responsibility for all compliance related items and work with the engineering team to ensure that logbooks are kept up to date as well as keeping all records in Maximo (CAFM system) up to date.
- Ownership of the Operational Occurrence Reporting system.
- Manage a full time FM planner role and support the FM planner in his daily duties, to ensure that all their duties are carried out in a timely manner to the contract requirements meeting all SLA’s/KPI’s.
The Ideal Candidate
- Substantial experience in a similar role of supporting development of CAFM Management systems on facilities management contracts.
- Excellent understanding of technical application and processes, risk management and HSE, the methods employed to manage risks, hazards and controls.
- Good understanding of services delivered by integrated facilities management and will understand the impact on their customers
- Background in a heavily regulated environment
- Good understanding of Computerised Maintenance Management Systems
- IT literate (proficient in MS Excel and CAFM systems, preferably Maximo)
- Formal technical qualification in an appropriate subject, member of recognised body e.g. CIBSE
- Substantial practical experience as an Engineer involved in building services engineering to management level with operational experience of delivering engineering services in a business- critical environment
- Able to adopt Information Systems to create, map and manage Maintenance Plans
- Detailed knowledge & experience of Building services systems.
- Maintenance management such as BESA SFG20, CISE Guide M.
- Good knowledge of contractual procedures within the FM industry, Health & Safety Compliance and statutory compliance
