Administrative Assistant

We are looking for a proactive, detail-oriented Administrator to join our Sodexo team. This is a fast-paced and varied role at the heart of our operations, providing vital support to both our internal teams and client-facing services. The successful candidate will take ownership of the client Helpdesk, streamline and manage internal administrative processes, and contribute to the seamless running of site operations. This is an excellent opportunity for someone who thrives on organisation, enjoys problem-solving, and is committed to delivering outstanding client service.

What you'll do: 

  • Client & Helpdesk Management – Operate the client Helpdesk, resolve queries promptly, maintain strong client relationships, and oversee onboarding/exit processes.
  • Operational Administration – Complete Sodexo bookwork, manage documentation, and coordinate site logistics such as room bookings and events.
  • Health, Safety & Security – Undertake safety walks, report findings, and conduct security audits to ensure compliance with site protocols.
  • Team & Training Support – Coordinate training activities, track progress, and support the EMT with client meetings, preparation, and follow-up.
  • Reception & Front-of-House Duties – Provide a welcoming presence, greet visitors, and manage calls as required.
  • Leadership & Continuity – Deputise for the Site Services Manager when needed and act as a central point of contact for both Sodexo and client teams.

What you'll bring:

  • Demonstrated experience in administration, facilities management, or client services.
  • Exceptional organisation and time management with strong attention to detail.
  • Excellent communication and interpersonal skills, with the ability to build positive relationships at all levels.
  • Proven ability to prioritise, multitask, and adapt within a fast-paced environment.
  • Confident user of Microsoft Office and familiar with Helpdesk systems.
  • Awareness of health, safety, and security protocols (formal training desirable).
