Administration & Accounts Apprentice

Job Introduction

Purpose of the job

As a Administration & Accounts Apprentice at HMS Nelson, Portsmouth, you will be the central contact for all event bookings, planning and costing, ensuring the smooth running and administration of the Mess Office in the absence of the Mess Manager. You will have a high level of numeracy and literacy skills as well as great communication skills to maintain excellent client and customer relationships.

Mail Responsibilities

  • To learn and understand Mess accounting, and Mess billing requirements, in an Apprentice role, whilst applying and strictly adhering to Mess and Company policies and procedures.
  • To support the Mess Manager, in their ambition to deliver a pleasant and welcoming environment in which to live and work.
  • To co-ordinate with the Mess Committee, to ensure policy, rules and regulations are maintained and events are delivered with financial oversight and feasibility.
  • To answer queries from Mess members and other parties regarding Mess matters, in an accurate and timely manner.
  • To process all information with discretion and strict confidentiality, to comply with data protection and other security requirements.
  • To maintain Mess member details on the system, ensuring all records are accurate and up to date, and billing information is correct.
  • To ensure cash/cheques are always securely stored and compliant with security of cash procedures.
  • To ensure external and internal suppliers, such as Marquee services through to florists, are arranged, booked, and security cleared where appropriate and deconflicted if required.
  • To ensure the Mess organisers are kept informed of progress, with the event planning, and any risks or threats are highlighted when recognised.
  • To ensure that security guest listing for all events, dietary requirements, routines, seating plans and team individual contributions are communicated effectively.
  • To attend your performance development review to discuss job standards and agree development activities.
  • To attend team briefs, huddles and meetings as required.
  • To care for all available resources including equipment, materials and supplies as directed.
  • To report any near miss occurrences, accidents, or faulty equipment to management.
  • To maintain a professional and confident face to any customers.
  • To continue to develop one’s own skills and knowledge within the position, including any company required training courses.

Essential

  • High level of Numeracy and Literacy skills
  • Good interpersonal skills and communication skills
  • Previous experience in a client facing role
  • Very good knowledge of Microsoft Office (Excel, Word, Outlook)

Package Description

  • 37.5 hours per week
  • Monday to Friday - 08:00-16:00 or 09:00-17:00 
  • £12.50 per hour
  • Free Car parking
