16 MED Regt Unit Welfare Officer (UWO) Clerk

Job Introduction

The welfare administrative assistant must provide support as part of the Welfare team for all the unit personnel and their families, to help them through any welfare issues, be it medical, financial, emotional or practical. They must also give guidance to the individuals and their families on their posting, housing, schooling, and resettlement needs and maintain current and accurate information to assist the smooth running of the office.

 

Role Responsibility

  • Maintain current and accurate records of Married Quarter addresses in use by the unit.
  • Prepare a monthly correlation of the list for distribution.
  • Copy and distribute address list for key unit personnel and other interested parties.
  • Liaise with the Defence Infrastructure Organisation (DIO) on a regular basis for allocation of Married Quarters.
  • Regularly attend Married Quarter Move Ins/Outs as the Unit representative.
  • Arbitrate at Move In/Out on cleanliness or other relevant issues.
  • Advise new family on any local issues which may concern them.
  • Assist with application of Dependants Passes.
  • Advise family on registration with medical practitioner & local dentist.
  • Advise family on local educational facilities - Play Schools, Crèche, Schools, and Colleges.
  • Assist with the coffee afternoons and family activities for operational and overseas tour personnel.
  • Advise unit personnel on the movement of their families on posting.
  • Advise families on MOD Form 1132 - Application to Occupy Service Family Accommodation (SFA) for a Married Quarter at their next posting location.
  • Assist with the completion of removal/storage of the families’ personal possessions.
  • Advise unit personnel on cleanliness and other issues in readiness for handing back the Married Quarter before leaving the area.
  • Liaise with Unit Personnel and DIO on a suitably convenient time and date for the move out of the Married Quarter.
  • Maintain a current and accurate families register.
  • Answer and reply to emails from families and dependants enquiring on relevant welfare matters and general enquiries regarding events and functions within the unit.
  • Compile families’ newsletter and help distribute monthly.

       

       Welfare

  • Act as initial contact for all unit welfare matters in the UWO’s absence.
  • Maintain confidentiality on all welfare matters at all times.
  • Deal with distressed unit personnel, wives or families in a sympathetic but professional manner.
  • Maintain a polite and approachable manner at all times when dealing with the unit’s families and dependants and outside agencies.
  • Prepare and distribute welfare letters as and when required in conjunction with any other military literature that is relevant to the unit families.
  • Prepare monthly statement on personal welfare state for Commanding Officer.
  • Assist with any other relevant paperwork required to aid the UWO.
  • Comply with all requirements, standards and procedures within JSP 534 - The Tri-Service Resettlement and Employment Support Manual.
 

The Ideal Candidate

Essential

  • Baseline Personnel Security Standard (BPSS) and a Disclosure and Barring Service (DBS) check required.
  • Good IT skills.
  • Excellent organisational skills.
  • Excellent interpersonal skills with the ability to communicate with individuals on sensitive issues in a compassionate and professional manner.
  • 5 GCSEs at Grade C or above, or equivalent; or NVQ Business Administration Level 2.  

 

Desirable

  • Knowledge of working in a military environment.
