Guest Services Assistant

Delivering a professional workplace experience

Sodexo is seeking a professional and customer-focused Guest Services Assistant to support front-of-house and workplace services at the Astellas Pharma site. You will play a key role in ensuring a seamless experience for employees, visitors, and stakeholders while maintaining high service standards.

Key Responsibilities

Client Suite & Events

• Maintain the events calendar and coordinate internal events

• Support workplace communications and booking processes

Reception & Visitor Services

• Meet and greet visitors and manage site access badges

• Manage deliveries, mail, and reception reporting

Switchboard & Helpdesk

• Handle calls professionally and maintain accurate records

• Log and escalate facilities requests in line with SLAs

Mailroom & Office Support

• Distribute mail and parcels and manage outgoing post

• Maintain stationery points and report equipment faults

Meeting & Conference Support

• Assist with room bookings and coordinate catering requirements

• Confirm booking details and visitor information

Security & Access Control

• Lock/unlock the building and manage access passes

• Maintain site security awareness and liaise with security teams

General Workplace Support

• Ensure compliance with health & safety procedures

• Monitor shared amenities and maintain high service standards

• Act as an information point and build strong customer relationships

What you’ll bring

• Experience in reception, hospitality, or workplace services

• Excellent customer service and communication skills

• Strong organisation and attention to detail

• Confident IT skills (Microsoft Office & booking systems desirable)

• Professional, proactive, and team-focused approach
