Planning Manager - Events and Hospitality

Job Introduction

Sodexo's Sports & Leisure Segment currently have an excellent opportunity for an experienced Planning Manager to join the team at Ascot covering Maternity leave for 15 months.

In this exciting role you will lead the planning of our Hospitality, Fine Dining and Events at Ascot Racecourse.

You will manage a team of 2 coordinators and take bookings from customers for events and hospitality at Ascot, you will ensure our guests receive a seamless experience from arranging stunning flower arrangements to providing beautiful menu options, managing expectaions along the way.

You will also build strong relationships with internal and external clients, sales, logistics  and operational teams ensuring all information is with them in good time.

This is a demanding role where you will be dealing with a number of different stakeholders such as our Sponsors and VIP Guests, delivering excellent customer service and managing a team of coordinators.

We are ideally looking for somebody with experience in events or hospitality planning particularly large scale events or experience within a busy sales environment.

 

Role Responsibility

  • Ensure the smooth running of the planning office and allocation of workload for the planning team
  • Line manage, coach and mentor colleagues within the department
  • Be involved with package building for Royal Ascot and Ascot racedays from the beginning of the process
  • Support the creation of bespoke identities for new Royal Ascot areas, paying attention to client expectation, brand, collateral, colour schemes and food concept.
  • Manage and update the fine dining wine stocking policy; review raceday wine sales and work collaboratively with the Cellar Manager to agree fine dining wine lists, package wine selections and required stock levels.
  • Responsible for raising POs for the planning team
  • Manage telephone enquiries and ensure all queries are dealt with quickly and efficiently

The Ideal Candidate

  • Experience of working in a fast paced, large scale hospitality or events environment
  • Exceptional customer service skills and empathetic to customer requirements yet able to set clear expectations.
  • Strong ICT skills, e.g. Microsoft Outlook, PowerPoint, Publisher, Word and Excel
  • Ability to work under pressure and deliver deadlines
  • Ability to communicate in a proactive and positive manner
  • Excellent administrative skills

Package Description

Up to £34,000 depending on experience
