HR Administration Assistant
Job Introduction
We’re looking for a customer focused, capable communicator with a high attention to detail to join our busy PeopleCentre team based in Salford as a HR Administration Assistant.
This is a brilliant opportunity for an individual who’s passionate about employee experience, has a keen interest HR, is willing to learn and be part of a collaborative team.
You’ll work to tight deadlines so your ability to manage your time will be essential and as the first point of contact for our employees and customers, you’ll be confident managing telephone queries and communicating verbally. Your attention to detail will need to be spot on to ensure 100% accuracy of data and you’ll be comfortable using Microsoft Excel and Word.

Role Responsibility
Full training and development will be provided to enable you to carry out the below responsibilities:
- Provide a helpful, highly responsive, efficient and customer friendly HR administration service to all PeopleCentre customers, ensuring all Service Level Agreement (SLA) targets are met/exceeded in order to continually improve the level of customer service and reduce the number of queries awaiting resolution
- Log all Service Requests on the PeopleCentre Customer Service Management (CSM) system, ensuring customers are provided with a service ticket number for any unresolved queries and sufficient information has been obtained from the customer for the request to be resolved
- Liaise with Payroll and other departments to obtain necessary information to resolve queries, such as pay related queries ensuring all SLA targets are met/exceeded.
- Seek support from HR Team Leaders for advice with complex queries and escalate any potential issues Perform administrative duties relating to case management of maternity, paternity, flexible working, long term sickness cases etc., whilst escalating any potential ER issues individual employee cases to HR Team Leaders/ER Services Team as appropriate
- Provide administrative support for probationary periods, sabbaticals and secondments and undertake processing duties relating to annual leave, absence, leavers, changes to personal details and changes to terms and conditions
- Perform PeopleCentre actions to support recruitment and induction of new employees, which involves generating contracts of employment for internal moves, requesting references, processing new starter forms and other necessary new starter actions ensuring that all SLA targets are met/exceeded.
- Maintain HR records, ensuring all employee records (manual and electronic) are accurate, up to date and comply with all Data Protection Act and Company specific requirements. Complete ex-employee reference requests and external data requests complying with all Data Protection Act requirements and any company specific requirements
- Provide administrative support for bulk employee communications and delivery of regular HR calendar events
The Ideal Candidate
What’s essential:
- Good communications skills verbal and written
- Confident verbal communicator, comfortable taking on the phone and providing good customer service
- High attention to detail, able to ensure accurate keyboard and data entry
- Well organised with strong time management and ability to work to tight deadlines
- Experienced user of Microsoft Excel, Word, Outlook
- Strong understanding of the importance of confidentiality and the ability to follow GDPR processes
- Collaborative team player able to work cooperatively within a team and on own initiative
Where we can be flexible:
- Good understanding of HR processes, policies and procedures
- Good understanding of HR/Payroll interfaces and how to handle pay related queries
- Ability to identify situations, which could result in potential customer complaints, in order to prevent the complaint from occurring
