G2 Security and Vetting Administrator

Job Introduction

  • To carry-out vetting administration duties, ensuring that all contractors and military personnel administered by HQ Colchester Garrison are vetted to the correct level.
 

Administering the notification of visitors to Merville Barracks and providing security advice as required, thereby ensuring adherence to MOD policy and Colchester Garrison Standing Orders.

Role Responsibility

G2 Security and Vetting

 

  •    Be the first point of contact for all G2 security and vetting enquiries at Merville Barracks, ensuring that

   where necessary tasks/issues are directed to the appropriate staff officer for action.

 

  • To keep SO2 G2/G3 updated on routine matters of security.

 

  • Assist the SO2 G2/G3 with administration of notification of visitors procedures for Merville Barracks in

            accordance with Colchester Garrison Standing Orders.

 

  • To assist SO2 G2/3 in the organization of annual security training and threat briefs for HQ Colchester

             Garrison and 16 Brigade area.

 

  • Provide clerical support to SO2 G2/G3, to include dealing with incoming and outgoing mail, maintaining

             branch e-filing, scanning, photocopying, faxing, destroying documents as required.

 

  • Dissemination of relevant policy, reports and updates across HQ Colchester Garrison and 16 Brigade area

            as directed by SO2 G2/G3.

 

  • With direction from the SO2 G2/G3 assist with vetting administration duties in accordance with MOD policy     

            and Colchester Garrison Standing Orders, to include processing applications for DV, SC and BPSS vetting   

            clearances and aftercare procedures.  Update vetting registers, run a monthly JPA vetting report, file all

            security clearances and ensure that the relevant organisations are informed.

 

  • Arrange and undertake secretarial duties for the monthly Operational Security Group (OSG) meetings    

             chaired by the SO2 G2/3.

 

  • Maintain and update accurate security and vetting electronic records (databases).

 

  • In conjunction with the SO2 G2/G3 undertake the role of Personal Information Asset Owner (PIAO) in

            accordance with MOD and Army policy, Data Protection Act 1998 and General

            Data Protection Regulation 2018 - responsible for the collection, maintenance and use of personal data

            held in regard to the G2 Security function.

 

General Duties:

 

  •       Other general duties in accordance with Staff Duties for Administrative Support Staff (Para 1.1, Appendix 3,

            Section 7 of Part 3 to Schedule 4 of the Project Agreement).

 

             Support the Garrison Commander in the absence of the Personal Secretary, if required.

 

             Provide temporary periodic cover for the G3 Ops Administrator.

 

  • To continue to develop one’s own skills and knowledge within the position, including any required training courses.
  • To maintain excellent client/customer relationships.
  • To attend team briefs and meetings as required.
  • To attend your performance development review to discuss job standards and agree development activities.
  • To care for all available resources including equipment, materials and supplies as directed.
  • To report any near miss occurrences, accidents or faulty equipment to management.
  • To ensure effective communication with line manager, team, customer and client organisation.
 

The Ideal Candidate

  • Competent user of Microsoft Word, Excel and Outlook.
  • 5 GCSEs at Grade C or above, or equivalent; or NVQ Business Administration Level 2.  
  • Previous administrative experience in a busy office environment.
  • Very good written communication skills.
  • Excellent interpersonal skills.
  • Willingness to obtain Security Check (SC) clearance prior to starting role (will be started at recruitment if not already held).
  • Ability to manage and prioritise workload, use initiative and apply sound judgement.

 

Desirable:

  • Already hold SC clearance.
  • Understanding of military organisation and structure.
  • Familiar with SharePoint/OneDrive/MOD IT systems.
 

Understanding of vetting procedures at national security level.
