Customer & Workplace Assistant

Job Introduction

To act as single point of contact for customers in relation to all non-technical services, Front of House, Mailroom, Distribution and Logistics, Cleaning, Hospitality and Administration.

All employees are required to, and are responsible to adhering to Quality, Compliance and Environmental, Health and Safety (EHS) regulations and GSK or Sodexo procedures applicable to their role. Training will be provided to ensure procedures are understood and responsibilities defined. Environmental, Health and safety non-conformances and potential Environmental, health and safety risks must be reported immediately to your line manager and Sodexo EHS.  

Role Responsibility

Context:

  • To ensure that work instructions and safety procedures are followed and implemented.
  • Adhere to all company & client policies, procedures, site rules and regulations.
  • Comply with all company & client procedures relating to Health & Safety & safe working practices.
  • Significant walking and some heavy manual handling operations.
  • Personal Protective Equipment (PPE) to be worn as directed by line manager and in accordance with the working instructions / procedures. Prepared to work to strict timelines sometimes in isolated areas and following stringent dress codes relevant to the area

Main Assignments:

  • Reception service delivery
  • Switchboard Service delivery
  • SBC site pass production as required
  • Meeting room support and hospitability coordination
  • Maintain occupancy database
  • Maintain Fire list
  • Visitor processing and information provision with regards to site operations and EHS awareness.
  • Support Facilities Coordinator with team admin and leadership.
  • Maintain excellent relationships and communicate with the client contacts and every opportunity.
  • To ensure drink machines, consumables and cups, glasses and mugs in kitchen areas  are topped up.
  • Empty and refill dishwasher frequently, ensure in all kitchen dishwasher supplies are checked and replenished.
  • Top up washing up liquid and hand towels in kitchen areas.
  • Service the coffee and vending machines as required, ensure clean and coffee grouts cleared to ensure effective and hygienic working.
  • To provide cleaning service throughout the day of the highest standard possible to the client.
  • Ensure communal areas are clean and tidy and furniture in place
  • As and when required assist with other tasks within your capabilities and training to maintain and improve services within the premises.
  • Attend training sessions and meetings as and when required actively participating.
  • Start work on time and adhere to break times whilst on duty.
  • Represent and promote the Company wherever possible.
  • To perform any other reasonable tasks as requested by the manager 

The Ideal Candidate

  • Knowledge and experience of Facilities Operations, particularly with a reference to customer facing operations
  • Strong customer services skills
  • Excellent written and verbal communication skills
  • Knowledge of COSHH
  • A strong team player, be self-motivated and work under pressure to balance conflicting deadlines is essential
  • Communicate effectively with a wide range of customers and multi-service teams and service personnel to achieve results

This is an opportunity to work for a great pharmaceutical company based in Stevenage.  Working within a small friendly team on the main reception desk you will be meeting new people every day.  There is free parking, and the site is located within GSK so there is a fitness centre and on site restaurant available for use.
