Community Space and Events Manager

Job Introduction

  • To be responsible for the overall management of the community & event spaces for the Thames Valley sites
  • Oversee all aspects of event planning and management, including internal and external events
  • Managing all activities relating to events to ensure success with minimum disruption to business as usual
  • Engage with departmental representatives to promote the use of community spaces and provide support and direction in their use
  • Develop a programme of activities to engage site users and foster a sense of community
  • Proactively promote the community spaces to maximise use
  • Be a single point of contact for the neighbourhood champions / customer forums

Role Responsibility

  • Responsible for the management of all client hospitality bookings
  • Responsible for the direct management of  all multiple meeting room bookings and bookings accommodating 16 or more people
  • Key point of contact for our client and our service delivery team for all hospitality requests including dining, corporate events and in room meeting dining
  • Establish direct communication with agencies and suppliers to ensure excellent delivery of all internal and external events
  • Provide pre and post analysis of the effectiveness of events with recommendations to increase effectiveness
  • Ensure appropriate budget controls: Submissions/ Monitoring/ amendments/ reporting.
  • To collaborate with internal departments and external suppliers ensuring efficient forward planning of activities and that these are consistent with corporate ID, business strategy and company objectives. 
  • Managing operational and administrative functions to ensure successful events
  • Providing a meet and greet service for event guests
  • Daily Management of occupancy and bookings calendar to maintain maximum occupancy
  • Ensure daily checks of meeting rooms take place and any issues reported and tracked to completion
  • Lead / organise J&J employee experience workplace experience roadshows – Examples of employee experience services can include: Auto repair, car valet services, visiting retailers, massage, personal training
  • Communicate and promote services through a range of channels to maximise interest in workplace services.
  • Negotiate employee discounts with local shops / restaurants and services
