Job Introduction

Sodexo Corporate Services IFM is responsible for the delivery of IFM services to the consolidated offices Diageo at St. James’s Gate.

Reporting to the Site Co-ordinator the Assistant site Co-Ordinator will primarily be responsible for assisting the Site Co-ordinator with the day to day operations of the CAFM system (Maximo), co-ordination of Sodexo training for all teams, efficient, oversee/support the effective and professional running of client reception & administrative support duties, supporting the move management process and interacting with the client on ad-hoc requests to support site.

Role Responsibility

    • Component use of Condeco System (Meeting room booking system)
    • First contact for any technical problem with Video Conference
    • Help the Facilities team to manage office space: Assist and design new office space
    • Organise and manage office moves: coordinate all different team (IT, Maintenance, Cleaners) to make sure office move goes according to plan
    • Creating daily task lists for service lines from CAFM system 
    • Closing of completed CAFM tasks as per contract SLAs 
    • Point of contact for with Sodexo vendors as required and planning site visits for task closeout
    • Daily/Weekly/Monthly system reports as per site requirements
    • Planned maintenance close out of schedules on CAFM system     
  1. Working closely with the Site Co-Ordinator in planning/co-ordinating helpdesk tasks.
  2. Assist in the day to day operations of the main entrance reception area including break/holiday cover.
  3. Working closely with and supporting Concierge service onsite with regards to:
    • Space planning
    • Project support
    • Condeco interaction/ room bookings
    • Yammer updating
  4. Delivering when required site communications to the highest standards at clients request using Diageo systems.
  5. Support Sub-contractor compliance at Diageo SJG. Induction, H&S, Training and site GRMS requirements. Develop site matrix to track and notify Sodexo subcontractors if documentation is not missing or with to date.    
  6. Ensuring that Sodexo compliance systems are audit ready for internal and external review with required documentation completed and in place for review.        
  7. Good Knowledge of the Management Structure of Diageo Ireland/UK and history of the St James Gate.

The Ideal Candidate

  • Full knowledge of MS Office and MS Project.
  • Previous experience of management of M&E engineering contractors
  • Previous experience in a management/supervisory role within a large team on a manufacturing plant.
  • Previous production facilities experience essential
  • Knowledge of the most up to date environmental and local protection laws
