Personal Assistant

Job Introduction

A fantastic opportunity to join one of the world’s leading Facilities Management companies. A superb opportunity has arisen for highly organised and proactive individual to work as a Personal Assistant for a Managing Director for one of the largest company segments.

The Personal Assistant will provide efficient, effective and professional administrative support for a member of the Executive Leadership Team, liaising with and providing service within a high profile team in the Holborn offices.

Role Responsibility

Key responsibilities:

  •  Diary management for Managing Director.
  • Organise travel & accommodation bookings for the senior team.
  •  Assist with the arrangement of meetings and booking of meeting rooms.
  •  Schedule monthly finance reviews.
  •  Type and format correspondence, reports and presentations ensuring the work is accurate and undertaken in the time scales specified. 
  •  Assist the senior team with expense claims.
  •  Manage annual leave records.
  • Attend team meetings, minute take when required and distribute notes in a timely manner and follow up meeting actions as required. 
  • Raise online purchase orders through SAP for any expenditure against the overhead

The Ideal Candidate

Experience required:

  •  Excellent communication, organisational and administration skills, including editing skills and a keen attention to detail.
  •  PC literate in Microsoft applications (including Outlook, Word, Excel, Publisher & PowerPoint
  •  Proven experience within a similar role. 
  •  Experience of working with an extremely busy team with very high standards.
  •  Have worked in an environment where confidentiality is important.
  •  Have worked in a similar industry or within Leisure, Hospitality and Leisure where a change programme is operating.
