PA (Personal Assistant) / HR (Human Resources) Projects

Job Introduction

A unique opportunity for someone delivery focused who has exceptional administration and organisational skills with a keen interest in Human Resources (HR) to join the Prestige, Sports, Leisure & Travel team,  providing PA support to our 2 HR Directors with project management for key areas.

Moving forward, the support element will equate to approximately 30/40% of your time with the focus on projects being 60/70%

You will provide an efficient, effective and professional administrative support to 2 Human Resources Directors - acting as direct support by being the first point of contact within the Prestige and CS IFM HR team, also assisting as required in HR administration activities and managing projects.

The HR team within Prestige and CS IFM support over 1,000 sites and 10,000 employees across the UK & Ireland.

Role Responsibility

  • Fielding 2 HR Directors telephone calls, e-mails and and post (incoming & outgoing)
  • Actively manage the Human Resources Director(s) diary through Outlook.
  • Organising travel & accommodation arrangements
  • Typing correspondence, reports and presentations ensuring the work is accurate.
  • Booking and arranging meetings ensuring all attendees have the relevant information.
  • Attending and taking minutes of HR meetings and distribution.
  • Compiling monthly expense reports.
  • Producing  offer letters and contracts of employment when necessary
  • Organising the induction process for new functional starters and buddy them through their first few weeks to include company cars, laptops, setting up on expenses, explaining flexible benefits scheme, etc.
  • Managing the payroll administration of the Prestige Ticketing team
  • Producing Prestige and CS IFM organisation charts and keeping them up to date.
  • Timely production of HR monthly statistical information with commentary
  • Providing other HR team members in an administrative capacity as when appropriate.
  • Working on projects as agreed with the Human Resources Director(s).

The Ideal Candidate

  • Proven experience within a similar support role
  • Highly desirable to have an interest and/or some experience within HR.
  • Evidence of working in an environment where confidentiality is important.
  • Good standard of general education and qualifications to degree level
  • PC literate in Microsoft applications (including Outlook, Word, Excel & PowerPoint)
  • Excellent English language skills; spelling and grammar – letter writing and proof reading, and attention to detail / good presentation
  • Customer and delivery focused
  • Team Player
