Band Administration Clerk

Job Introduction

We currently have an opportunity for a Band Administration Clerk to join our team. This is a great opportunity for a customer focused individual to join a world leading food and facilities management company, which can offer unrivalled opportunities for career progression.

Role Responsibility

  • Check and action all daily email traffic
  • Sort and distribute all daily post
  • Maintain the band ‘Group’ folder within Dii
  • Maintain all hard copy engagement files
  • Order, manage and maintain the stationery budget
  • Prepare and present all engagement contracts for signature
  • Liaise with outside agencies on administrative matters with regard to Band engagements
  • Attend Senior Management meetings, take and present minutes/ROD’s as required
  • Update the band FOE as appropriate and distribute as per Band Standing Instructions
  • Ensure all external return requirements are actioned as required
  • Distribute CD’s to mail order/internal customers, consolidate and present cash/cheque receipts as required to the band accountant
  • Ensure all Orders/Notices are copied to notice boards as required
  • Input any data as required onto the Army wide ‘Blenheim’ system
  • Any other tasks as requested by Senior Management to ensure smooth running of day to day administration of the Bands
  • At the direction of relevant Authority Personnel perform general duties in accordance with the Staff Duties for Administrative Support Staff

The Ideal Candidate

Essential

  • Good communication skills so as to meet /discuss with civilians on a face to face basis and by Telephone/IT means 
  • Experience of communicating technical information to a non-technical audience
  • Must be Computer literate
  • Be able to communicate confidently with all military ranks 
  • 5 GCSEs at Grade C or above, or equivalent; or NVQ Business Administration Level 2.

 

Desirable

  •  Working knowledge of DII 
  • Military musical background would be an advantage
  • Attended Blenheim Training Course
  • Attended Band contracts training
